Automation Specialist / Systems Integration Specialist
Location: Remote (Latin America preferred)Hours Schedule: Part-Time (20 hours/week – initial phase) within a year.Time Zone: Overlap with U.S. Eastern Time preferredAbout Company and RoleThe client is a growing residential construction company based in New York, specializing in home additions, interior renovations, kitchens, bathrooms, decks, and masonry work.As the company continues to scale, operations are currently spread across multiple platforms (Joist, Excel, Buildertrend), creating inefficiencies in project tracking, communication, and overall visibility. The owner is managing the business across two locations (New York and Georgia), making it difficult to maintain full operational oversight.This role is focused on bringing structure, visibility, and efficiency into the business by consolidating systems, automating workflows, and creating a centralized operational hub. The ideal candidate will help build a system that allows leadership to manage the business remotely and scale without operational bottlenecks.Key ResponsibilitiesAudit current systems and workflows (Joist, Excel, Buildertrend, etc.)Identify inefficiencies and areas for automationRecommend and implement a simple, user-friendly CRM/project management systemConsolidate multiple tools into one centralized platform where possibleSet up and configure workflows for:Project tracking and status visibilityLead management and follow-upsEstimating and approval processesTask assignment and team coordinationMigrate and organize existing data into the new systemSet up multi-user access and permissionsTrain team members on new systems and processesCreate SOPs and documentation for internal useMonitor system performance and optimize workflows over timeProvide ongoing support and troubleshootingMust-Have Qualifications3+ years of experience in automation, systems integration, or process optimizationStrong experience with CRM/project management tools (HubSpot, Monday.com, Asana, Pipedrive, or similar)Experience using automation tools (Zapier, Make.com, or similar)Proven ability to consolidate and streamline multiple systemsStrong problem-solving and analytical skillsExcellent English and Spanish communication (written and verbal)Ability to work independently and manage projects end-to-endKnowledge in Architecture, design AutocadMarketing knowledge.Nice-to-Have QualificationsExperience working with construction or contractor businessesFamiliarity with Joist, Buildertrend, or similar platformsExperience with data migration and system consolidationUnderstanding of small business operations and scalingExperience building dashboards or reporting systemsOther InformationEngagement Type: Independent ContractorInitial Scope: 12–16 week setup phaseLong-Term Opportunity: Potential for ongoing part-time support and system managementWork Style: Flexible, async-friendly with some overlap requiredGoal: Enable full operational visibility and allow the owner to manage the business remotely without constant travel
