Administrative Assistant to the Head of Middle School (Houston)

Annunciation Orthodox School (AOS) seeks a proactive, detail-oriented, and flexible person to be the Administrative Assistant to the Head of Middle School. The Administrative Assistant must be proficient in Google Suite and the use of technology in general. The ideal candidate will promote and execute the Middle School's goals with collaborative spirit, dynamic energy, and a commitment to excellence. The Administrative Assistant is also expected to work some evenings and weekends during the course of the calendar year.Responsibilities:Partner with the Head of Middle School in all aspects of daily operationsManage the Head of Middle School's workflow and calendar; protecting their time for strategic leadership and ensuring they are prepared for all daily engagementsAnticipate and identify logistical bottlenecks and implement real-time solutions for calendar shifts, event needs, and faculty coverageCoordinate faculty coverage for planned and unplanned absences; ensuring the school day starts seamlessly even when the unexpected happens; this involves communication with faculty and our substitute staffing agencyOrganize and assist in orchestrating Middle School events and field trips through coordination with othersOwn the 8th grade high school application pipeline, ensuring all student data and materials are meticulously tracked and submitted to high schools on timeManage and implement systems of administrative support for faculty, including ordering suppliesCoordinate the hiring process for middle school faculty candidatesProvide daily lunch coverage for the front desk receptionist as well as general coverage when neededAssist with daily carpool managementServe as an enthusiastic, motivated, and kind-hearted advocate for the school's mission in all communications and interactions across all constituentsOther duties as assigned by the Head of Middle SchoolQualifications:Bachelor's DegreeStrong organizational skills, flexibility, and attention to detailExperience managing data using Google Suite, Microsoft, and other database systemsPassion for learning, implementing, and maintaining systemsExcellent oral and written communication skillsProven problem-solving and planning skillsAbility to work well independently and in collaboration with team membersAbility to maintain confidentiality regarding sensitive informationPlease provide the following information to this email address: resume@aoshouston.orgCover letterResumeContact information for at least three references
