This role oversees day-to-day office operations, facilities, vendors, inventory, and administrative processes - acting as the central point of coordination for a well-run workplace.The ideal candidate is proactive, highly organized, service-oriented, and thrives in a fast-paced environment. You’ll anticipate needs before they arise, create operational consistency, and continuously improve the workplace experience.ResponsibilitiesOffice Operations & FacilitiesOversee daily office operations to ensure a safe, organized, and welcoming environmentManage office upkeep, repairs, maintenance requests, and facility-related issuesMaintain office standards including cleanliness, layout, supplies, and general readinessCoordinate office moves, seating plans, and workspace changes as neededVendor & Service ManagementManage relationships with office vendors (cleaning, building management, IT support, deliveries, security, etc.)Arrange courier and messenger services to support agent and transaction needsSource, negotiate, and coordinate vendor contracts and service agreements as needed, and with appropriate approvalsEnsure vendor performance meets expectations and service level standardsInventory & SuppliesOwn office inventory including pantry, supplies, equipment, and branded materialsTrack stock levels and reorder supplies in a timely, cost-effective mannerMaintain organized storage systems and ordering processesEmployee & Agent ExperienceEnsure a high-quality office experience for employees, Agents, and visitorsServe as a proactive, solutions-oriented point of contact for office requests and agent support needsAssist agents with administrative functions such as:Entering listings into internal systemsPreparing documents and presentation materialsSupporting deal coordination tasksPartner with People/HR to support engagement initiatives and office-based eventsSupport onboarding logistics (desk setup, badges/keys, supplies, welcome experience) Transaction & Operational SupportProvide operational assistance in closing out deals and supporting transaction workflowsTrack and monitor funds being received in coordination with Finance and deal teamsSupport general administrative needs including mail distribution, shipping/receiving, scheduling, and documentationDevelop and refine office systems to improve workflow, consistency, and efficiencyBudget & ReportingManage office operations budget including monthly expenses and vendor invoices with FinanceMonitor spending, identify cost-saving opportunities, and ensure budget alignmentMaintain organized records of contracts, invoices, and key office documentation*The company reserves the right to add or change duties at any time.Qualifications3+ years of experience in office management, operations, workplace experience, or administrative leadershipStrong vendor management and facilities coordination experienceProven ability to build processes and manage multiple priorities simultaneouslyProficiency with Google Workspace / Microsoft Office and basic office systems/toolsAvailable to work on-site at 205 Hudson Street 5 days per weekSkillsProactive problem-solver who anticipates needsCalm under pressure, adaptable, and resourcefulStrong communicator with a professional, welcoming presenceHighly organized and able to manage operational details without losing sight of the big pictureTakes ownership and pride in creating a best-in-class workplace
