Every number you touch, and regulation you master, supports a thriving, mission-driven workplace.If you're detail-obsessed, calm under pressure, and excited to learn the finer points of payroll compliance, this is your spotlight moment.ResponsibilitiesProcess company-wide payroll for NativePath, including terminations, bonuses, and regularly scheduled semi-monthly payrollExport hours from time-keeping platforms and import into Namely’s payroll system, after confirming accuracy with managersServe as point of contact for all payroll-related questions including inquiries and correctionsServe as point of contact with benefits brokers for employment updates and collaborate to update benefits administration portalImport deduction information from designated benefits platform to payrollAdd and update pay frequency, rate, and Tax IDs into our payroll system, NamelyAssist team members with direct deposit and withholding tax questionCollaborate with accounting to send international contractor paymentsOversee the preparation, accuracy, and timely distribution of year-end W-2 forms and 1095 formsMaintain compliance with all federal, state, and local regulatory requirements related to payroll processingReview all Tax notifications that arrive via mail/email, research, and assist in processingMaintain and regularly update Payroll databases in NotionManage all Unemployment Insurance claims receivedRegister payroll in applicable states and/or localities for all new hires and applicable address changesFile returns and send payments for states/localities not handled by NamelyTrack and request refunds for overpaid balances or uploading them to Namely to offset paymentsDiscover, recommend, and execute approved opportunities to Kaizen our processes within payroll keeping our small team sharp and fully optimizedGenerate annual total compensation reports at the beginning of each yearQualifications5+ years of recent experience processing full cycle payroll utilizing a 3rd party vendorAssociate’s or Bachelor’s Degree in accounting/finance strongly preferredIn lieu of an accounting or finance degree, 5+ years of full-cycle payroll is requiredExperience working with Namely HRIS and Payroll platforms is strongly preferredExperience with payroll tax and sales tax complianceStrong familiarity with payroll practices, compliance, and processes, especially with CA and WA payroll lawsMust have strong analytical and organizational skills, be detail-oriented, and deadline-drivenAbility to handle time-consuming and tedious tasks with accuracyProficient in Google Sheets and Excel (e.g., VLOOKUP, Pivot Tables)Proficient in use of Notion or other project management tracking tools strongly preferredStrong commitment to confidentiality and safeguarding employee recordsProactive problem solver who identifies root causes and implements scalable, best-practice solutions with minimal direction and strong collaboration.Available during core EST hoursWho are we?We’re firm believers that the Standard American Diet is the pitfall to several of the preventable health conditions arising in our society today (including heart disease, diabetes, and neurological disorders).
