JOB SUMMARY: The Administrative Assistant / Homemaker Program Administrator is responsible to complete the job responsibilities stated below in a professional and timely manner. The Assistant will be responsible to assist in the management of the non-clinical aspects of the Assisted Living & Homemaker Programs.QUALIFICATIONS: High School Diploma or GED preferred Ability to speak and understand EnglishPhone etiquette - Ability to speak clearly and answer phones in a professional manner Good communication skills, Proficient computer skills, Proficient basic office skills, Organized & able to multi-task, ReliableGeneral Responsibilities And DutiesMaintains a working relationship with the Administrator. Maintains a working relationship with the RN, LPN and all other nursing staff.Maintains a professional relationship with all residents, families, and all service providers.Maintains confidentiality of verbal and written information pertaining to residents, facility operations and other personnel. Maintains resident's privacy and dignity.Has a full understanding of fire, emergency and safety procedure.Answers phones, takes messages for the Administrator and other staff and making sure messages are delivered to appropriate personnel.Scanning and copying & filing as directed by AdministratorAssist with requesting New and Expired MCO Authorizations either via email or fax to the appropriate Care Manager. Complete Intake form for residents who are requesting information about the Assisted Living Program (name, address, phone number, etc.)Provide potential residents with Brochure, ALP packet and Medicaid information packet.Responsible for the admissions and discharges of the homemaker programResponsible for the marketing of the homemaker program servicesResponsible for onboarding new hires for the homemaker programResponsible for tracking of staff licenses Responsible for compiling monthly (by end of each month) of stats for Homemaker hours and totaling hours for each homemaker.Responsible for required documentation if homemaker services Attend homemaker meetings via phone conference, zoom or in person.Responsible for yearly homemaker survey documentation. Assist ALP administrator with computerized (MITC) staffing programs & hiring program (MyApplicants) Create flyers and memos as directed by the Administrator.Copy & file in-service forms in personnel files.Abide by established guidelines of the facility and governing regulations.Any other responsibilities deemed necessary by the administrator.
