This role will report directly to the Chief of Staff while providing day-to-day administrative support to the President of the company. The ideal candidate is organized, detail-oriented, and capable of managing multiple priorities with discretion and professionalism. This position offers strong growth potential into an Executive Assistant role.Key ResponsibilitiesManage complex and frequently changing executive calendars and schedulesCoordinate internal and external meetings across multiple time zonesPrepare meeting agendas, materials, presentations, and logistical arrangementsCoordinate domestic and international travel, including flights, hotels, transportation, visas, and travel documentationCreate detailed travel itineraries and proactively manage schedule changes or travel disruptionsTrack travel expenses and assist with expense reporting and reimbursementsDraft, proofread, and edit professional correspondence, reports, and presentationsMaintain organized digital and physical filing systemsSupport special projects, event coordination, and additional administrative tasks as neededAssist with occasional personal errands and executive support responsibilitiesRequired Qualifications3–5 years of experience in an Administrative Assistant or similar support roleProven experience supporting executives in a fast-paced corporate environmentStrong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPointExperience managing executive calendars and coordinating meetings across multiple time zonesExcellent written and verbal communication skillsStrong organizational skills with exceptional attention to detailAbility to handle confidential and sensitive information with professionalism and integrityStrong critical thinking and problem-solving abilitiesSelf-starter with a proactive mindset and the ability to anticipate needsAbility to remain composed and professional in high-pressure environmentsPreferred QualificationsExperience supporting senior executives or leadership teamsFamiliarity with travel booking platforms and expense management systemsExperience coordinating complex domestic and international travel arrangementsAbility to manage multiple competing priorities with minimal supervisionIdeal Candidate ProfileThe successful candidate will be polished, dependable, and highly adaptable, with the professionalism and resilience needed to thrive in a dynamic executive environment.
