This role serves as a critical extension of General Services, ensuring seamless daily operations across executive support, event coordination, travel logistics, and financial processes.This is a high-visibility position supporting senior leadership and operating within a centralized administrative support model. The ideal candidate brings strong executive presence, attention to detail, and the ability to manage multiple priorities with precision and professionalism.Key ResponsibilitiesPrimary Duties & ResponsibilitiesMaintain a highly organized, professional office environment and serve as a central point of coordination for administrative requestsPrepare and manage communications, reports, presentations, and tracking tools with high accuracyCoordinate calendars, meetings, room reservations, and logistics; manage document control and intake systemsPlan and execute internal meetings and events end-to-end, including logistics, vendors, catering, and communicationsManage event budgets, approvals, and financial tracking while ensuring consistency and continuous improvementCoordinate domestic and international travel, including itineraries, approvals, and issue resolutionSupport post-travel expense reconciliationPrepare and submit expense reports (Client, Concur, SAP) in compliance with policiesTrack expenses against budgets and support procurement, invoicing, and vendor paymentsMaintain organized, audit-ready financial documentationAct as liaison between internal teams and external vendors; support vendor coordination and onboardingEnsure adherence to company policies, financial controls, and security procedures; escalate risks as neededSupport special projects, process improvements, and development of tools/templates to enhance operational efficiencyRequired QualificationsAssociate's degree required3+ years of administrative assistant experienceStrong organizational and multitasking skills; ability to manage competing prioritiesExceptional attention to detail and follow-throughProven ability to handle confidential information with discretionStrong interpersonal and communication skills; able to work across all levelsProactive, solutions-oriented mindset with strong problem-solving abilityExperience with expense management systems (Concur, SAP preferred)Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook); SharePoint experience is a plusAbility to thrive in a fast-paced, evolving environmentWhat We're Looking ForStrong executive presence with confident, clear communicationHighly organized and process-drivenExperience coordinating complex travel and logisticsAbility to multitask efficiently in a high-visibility environment supporting senior leadershipEducation: Associates Degree required Work Schedule: Monday–Friday, 7:00 AM–4:00 PM or 8:00 AM–5:00 PMBenefits:The benefits available with this position include:Ongoing Training (RSO, Systems, Software Programs, OSHA Safety, JJ Keller, etc.)Continuous Employment Development and LearningOngoing Advocacy, internal assets with HSE, Legal and HR teams and experts to aid in Employee Career Path and Advancement401KHealthcare Group Medical Coverage & Healthcare for California onlyDental Insurance CoverageVision Insurance CoverageBasic Life Insurance & AD&DLong Term DisabilityVoluntary Short-Term DisabilityDirect DepositHealth Savings and Flexible Spending AccountsAbout Cenergy International ServicesCenergy International Services is a woman owned company providing workforce solutions for over 25 years.
