Using the tools of interfaith and cross-cultural dialogue, we create life-changing experiences that lead to actions for the creation of a more equitable and loving community.Center for New Americans DescriptionInterFaith Works' Center for New Americans (CNA) started in 1992, resettling newly arriving refugees from areas of the world where war, conflict, and political repression have forced mass relocation of people across the borders of their homeland. Historically, refugees were annually certified by the United Nations, and accepted by the US government, then settled in nearly 200 cities across the county, Syracuse being one of these. Until 2025, CNA provided initial support for the first 90-days beginning with meeting the refugee/family at the airport, delivering them to a pre-secured, furnished and affordable apartment, and providing immediate spending cash, food, and basic safety information. Beginning in 2025, CNA began deepening the support for the ongoing needs of New Americans previously resettled in Central New York through employment, cultural orientation, community integration, educational and ESL enrollment, and healthcare navigation services. Additional CNA programs which extend from three to five years beyond the initial resettlement period include the provision of ongoing, specialized, and intensive case management services, mental health and family wellness services, health literacy and education, maternal and infant health, immigration services, emergency assistance programs, and the facilitation of guided referrals to relevant community resources.Position Summary:The CNA Administrative & Housing Manager plays a vital role in ensuring the smooth operation of the Center for New Americans by overseeing administrative systems, managing office and warehouse procedures, managing relationships with local landlords and property managers, and supporting compliance with funding and regulatory requirements. This position requires strong organizational and interpersonal skills, as well as a commitment to supporting refugees as they rebuild their lives in the United States. This position is supervised by the Senior Director of the Center for New Americans and supports the Director of Resettlement Services and the Senior Manager of Community Wellbeing.Qualifications:This individual should have prior experience in public administration and/or refugee resettlement, a high level of initiative and creativity, proven ability to be an effective communicator, ability to handle a variety of tasks and responsibilities effectively, the ability to work with diverse groups of people with diplomacy and discretion, and the ability to work with language interpreters, or to provide formal interpretation services directly.Prospective candidates should also possess:Bachelor's degree in Public Administration, Nonprofit Management, Business, or a related field.Minimum of 3 years of experience in office, operations, or housing management, preferably in a nonprofit or human services setting.Strong organizational and multitasking abilities with keen attention to detail.Proficiency with Microsoft Office Suite including Word, Excel, PowerPoint and other data management systems.Excellent communication skills, both written and verbal.Commitment to the mission of refugee resettlement and cross-cultural humility and sensitivity.Experience working with federally and/or state funded programs (e.g., programs funded through ORR, OTDA, etc.).Knowledge of refugee resettlement processes and services.Multilingual abilities preferred (especially language(s) relevant to current client caseload including Arabic, Dari, Pashto, Spanish, Swahili, Kinyarwanda, or Ukrainian).Ability to work collegially with other staff, interns, volunteers, and external community members.Valid New York State driver's license and reliable transportation required.Working conditions and physical demands required:The demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.Ability to travel regularly throughout the service delivery area (conducting home visits, agency visits, service provider visits/meetings etc.) at least 50% of the time using reliable transportation, traversing streets, ascending/descending stairs, lifting heavy furniture, and exposed to outside weather conditions.Remain in a stationary position at a workstation and use a computer approximately 40% of the time.Ability to frequently sit for long periods attending meetings/trainings.Ability to lift up to 50 lbs. and support housing team members with furniture pickup and delivery.Ability to work standard office hours with occasional evenings or weekends for events.Essential Functions:Administrative & Operational ManagementSupport the Sr. Director in the oversight of daily department operations and ensure efficient administrative processes across all program areas.Develop and maintain organized digital and physical filing systems for client and program records in accordance with data privacy and grant requirements.Coordinate with agency IT/Operations teams to manage CNA staff requests and ensure everyone has access to necessary tools and equipment.Assist in the recruitment, onboarding, and training of new program staff.Coordinate monthly CNA staff meetings, training sessions, and wellness initiatives that bolster the capacity of current staff members.Supervise and coordinate a small team of staff and volunteers, ensuring efficient daily operations, task completion, and adherence to established procedures.Co-lead a monthly 'Warehouse Volunteer' meeting with the Community Engagement ManagerParticipate in all program and department-related meetings.Financial & Grant ComplianceCoordinate with the Finance Department, Sr. Director, and Director of Resettlement Services to manage client-related financial tracking, expense reporting, and account reconciliation, as needed.Support the Director of Resettlement Services with the collection and submission of monthly credit card expense reports for the Resettlement Services division.On a quarterly basis, review client and/or program records to monitor for compliance and quality assurance, as requested.Assist the CNA team in preparing for program audits and monitoring visits.Program Coordination & Support* Provide logistical support for department and agency events, orientations, and program activities.* Serve as a liaison between CNA and other departments to streamline communication and operations.Housing, Vehicle, & Warehouse ManagementMaintain current relationships/build new relationships with key landlords, keeping an up-to-date database of available units/properties.Serve as a liaison between clients and landlords/property managers to foster long-term living arrangements, mediate conflicts, and ensure eviction preventionFollow-up with landlords regarding housing maintenance issues identified by clients to ensure the issue is adequately addressed.Identify, coordinate, and implement affordable, safe, and clean-living arrangements for clients who need to move due to housing or personal issues.Manage the daily oversight of IFW's Warehouse including the organization of materials and donations in collaboration with volunteers. The warehouse should comply with local fire and OSHA codes.Coordinate with the Community Engagement Manager to secure, store, and distribute donations.Oversee the fleet of agency vehicles in coordination with the Building Coordinator and Transportation Coordinator including routine maintenance, registration and licensing, inspection, cleaning, and repair.Support the Community Wellbeing program with the acquisition and distribution of household goods and oversight of client housing procurement, including planning, communication, and logistics.Data & ReportingDevelop working knowledge of program-specific databases used for case management, documentation, and reporting purposes (e.g., IRIS, BIN, Unite Us, etc.).Manage and centralize program data across the department and various program databases to ensure that IFW maintains all programmatic data in-houseCompile administrative and operational data for internal reporting and funder documentation.Monitor deadlines and support compliance with grant deliverables.Participate in program check-in calls, trainings, and webinars, as requested.Community RelationsMaintain relationships with key service providers including Catholic Charities, RISE, Onondaga County, the City of Syracuse, health care providers and other human and social service agencies.Assist in advocating for and raising the visibility of the refugees in the Syracuse community.Participate in community partner meetings providing progress reports, program updates, and communicating ideas/concerns to stakeholders, as needed.Agency Support FunctionsAttend in-house training and informational conferences, as requested.Collaborate with other IFW staff, interns, and volunteers to improve services.Participate in all staff meetings, case planning meetings, and meetings with external providers.Serve on internal committees to promote general agency concerns and contribute to a positive office climate.Participate in all-agency activities such as the ILAD, Building Bridges Festival, etc.This Position performs other duties as assigned.To apply:Please send a cover letter and resume toRick Lee at [email protected]
