Administrative Specialist/Scheduler

Job Overview This is a unique and important job that supports and maintains everyday functioning and rhythm of Greenstone Counseling offices. It is 90% virtual work with occasional in person responsibilities. The Administrative Specialist's main job is field incoming calls and emails and be the "face" of the offices for clients. We are looking for an energetic, detail oriented, and "good with people" person! Greenstone is a counseling center that has a highly all inclusive and allied atmosphere. This requires warm and welcoming personalities. The Administrative Specialist is integral for overall daily functioning, providing an approachable first contact for clients, and helping Greenstone to grow and operate more effectively. They also work closely with all staff by attending to any scheduling needs. This job is a little different because the immediate needs and calls for the office are not regular and predictable. There may be time when there are lots of messages and calls needing attention and other times when things are rather slow and nothings is happening. During the slow time there are other responsibilities to attend to, but it does not fill a full work day. This would be a great job for someone who has the ability in their day and can be "on call" and available to answer and return calls or messages, but is seeking a more flexible work position. Please see our website to get a better feel for our office: greenstonecounseling.com Responsibilities - Answering and responding to all incoming calls, emails, and texts. - Helping new clients find the right fit of therapist and answering any questions they have about therapy, Greenstone, and clinicians. - Manage clinical schedules with cancellations, new clients, and any other needs or changes. - Assist with event planning and marketing - Help manage social media accounts - Utilize our EHR system to maintain and update client records and profiles. Skills -Mental Health awareness and sensitivity - Excellent clerical skills with attention to detail - Ability to provide exceptional customer service -Computer competency with basic data input -Ability to handle multiple ideas and tasks at once - Knowledge of administrative procedures and processes Job Type: Part-time Pay: From $12.50 per hour Expected hours: 10 – 20 per week Benefits: Dental insurance Location: Idaho (Required) Work Location: Hybrid remote in Rexburg, ID 83440
