In this role, you will ensure seamless communication between our sales, marketing, and customer service teams by managing our telephony and customer relationship management (CRM) systems. You will play a key role in configuring, maintaining, and troubleshooting these platforms to support our business processes and improve overall efficiency. Responsibilities: 30%: System Management and Administration Administer HubSpot CRM, including setting up workflows, managing user permissions, and optimizing the platform for sales and marketing processes. Integrate Dialpad with HubSpot to streamline communication workflows and ensure data consistency across platforms. Manage and maintain the Dialpad VoIP system, ensuring it meets the communication needs of the organization. This includes building workflows, analyzing processes and identifying best practices. Monitor system performance, troubleshoot issues, and implement improvements to enhance functionality. Configuring the service to meet functional and compliance requirements and managing changes through the Change Management Process Managing integration configurations with Microsoft Teams with Infrastructure team Manage web browser plugin and dialpad application configuration with Infrastructure team User management. Creating and assigning user accounts and configuring phone numbers, voicemail, and call routing 25%: Process Improvement and Optimization: Identify opportunities to enhance the integration and functionality of Dialpad and HubSpot to improve workflow efficiency. Collaborate with cross-functional teams to understand their needs and implement system changes that align with business goals. Stay current with updates and new features for both Dialpad and HubSpot, making recommendations for adoption as appropriate. User Support and Training: Provide technical support to team members, resolving any issues related to system use. Develop and deliver training programs for staff to ensure effective utilization of both platforms. Serve as the primary point of contact for vendor support related to CRM and VoIP systems. 10%: Data Management and Reporting: Ensure accurate data synchronization between Dialpad and HubSpot, maintaining the integrity of customer information. Collaborate with sales, marketing, and customer service teams to define data needs and ensure systems are configured to meet these requirements. Generate and analyze reports from both systems to provide insights into communication metrics, customer engagement, and sales performance. 5%: Security and Compliance: Ensure that both Dialpad and HubSpot systems comply with relevant data protection and privacy regulations. Qualifications: Technical Expertise: Strong experience with HubSpot CRM, including workflows, integrations, and reporting. Proficient in administering VoIP systems. Familiarity with API integrations, Basic knowledge of networking principles, CRM and VoIP technologies. Problem-Solving and Analytical Skills: Ability to troubleshoot and resolve technical issues across both systems. Strong analytical skills to interpret data and provide actionable insights. Communication and Collaboration: Excellent communication skills, both written and verbal. Ability to work effectively with cross-functional teams and provide clear technical guidance to non-technical users. Project Management: Experience managing system projects, including upgrades, integrations, and migrations. Strong organizational skills with the ability to prioritize tasks and manage time effectively. Training and Support: Experience developing and delivering training programs for software systems. Ability to provide ongoing user support and maintain user satisfaction. Preferred Qualifications: Knowledge of sales and marketing processes, particularly within HubSpot. Experience with additional CRM systems or VoIP platforms. Familiarity with data protection regulations (e.g., GDPR, CCPA) and compliance requirements. Educational Background: Bachelor’s degree in Information Technology, Computer Science, or a related field is preferred. Relevant certifications in VoIP systems, CRM management, or related areas are a plus.
