Receptionist
RECEPTIONIST JOB DESCRIPTION
The Embassy of the Republic of Singapore in Washington DC is looking for a receptionist to join our team to oversee front desk operations, administrative tasks, and consular support duties.
REQUIREMENTS:
Candidates should possess:
Proficiency in both written and spoken English.
A minimum of three (3) years of relevant working experience, preferably in front desk receptionist roles, hospitality or customer service.
Working knowledge of Microsoft Office Suite, including Word, Excel, and Outlook.
The ability to perform data entry.
Strong communication, organisational and multitasking abilities.
The ability to work effectively both collaboratively within a team and independently.
RESPONSIBILITES:
The successful candidate will be responsible for the following duties:
1. Guests and Visitor Management
Maintain reception areas, visitor rooms, and coatroom in a clean, tidy, and presentable condition at all times.
Ensure there are sufficient coat tags in the coatroom.
Coordinate meeting room bookings for visitors to the Embassy.
Liaise with officers and security guards on expected visitors, contractors and parking arrangements.
Screen walk-in visitors without scheduled appointments with staff members.
Welcome visitors upon their arrival and direct them to designated waiting areas or meeting rooms.
Prepare and serve refreshments to visitors awaiting meetings with staff members.
Assist with coat and bag check for visitors when necessary.
Assist with taxi bookings for staff members and visitors.
2. Telephone Duties
Screen all incoming calls, maintain daily call logs and direct to appropriate staff member.
Handle general inquiries and provide assistance with consular matters.
Record and relay telephone messages to relevant staff member.
Monitor voicemail daily and respond to or forward messages as appropriate.
Screen and log all calls for Ambassador.
3. Email and Mail Management
Manage and organise the Embassy’s general email inbox.
Route non-consular emails to appropriate staff members.
Maintain weekly records of email volume and types.
Respond to routine public queries.
Log incoming mail and packages and notify Ambassador’s PA of any correspondence addressed to Ambassador.
Distribute subscribed publications (where applicable).
4. Consular Duties
Provide support with consular queries when necessary.
Perform data entry for Visa applications.
Assist with passport issuance.
5. Official Functions Support
Coordinate with staff members and Social Secretary when function vendors arrive.
Perform assigned duties during Embassy’s events and functions.
6. Additional Duties
Report any security concerns or incidents to appropriate personnel.
Perform data entry and maintain stock/inventory records.
Provide administrative support as required.
Undertake other duties as necessitated by operational requirements.
WORKING HOURS:
Monday to Friday, 9:00am to 5.30pm
