This is a full-time, on-site role located in Charlottesville, VA. This role is essential to maintaining a well-functioning, welcoming, and efficient workplace. The ideal candidate will take ownership of office purchasing, travel coordination, supply management, and event planning, while ensuring the office remains clean, stocked, and running smoothly. This role also involves supporting office-related processes and ensuring administrative systems are efficient and effective.Key Reponsibilities:Office Operations & PurchasingManage all office purchasing, including supplies, equipment, and vendor coordinationMonitor inventory levels and proactively reorder office and kitchen suppliesMaintain relationships with vendors and negotiate pricing when appropriateTravel CoordinationBook and manage employee travel arrangements (flights, hotels, transportation)Prepare detailed itineraries and ensure cost-effective travel planningHandle changes or issues related to travel as neededOffice Maintenance & OrganizationKeep kitchen, common areas, and supply rooms clean, organized, and well-stockedPerform light cleaning duties (e.g., tidying spaces, occasional light dish washing, wiping surfaces)Coordinate with property management, external cleaning and maintenance vendors when necessaryEvent Planning & Culture SupportPlan and organize office events, team gatherings, and celebrationsCoordinate logistics including catering, supplies, and setup/cleanupSupport initiatives that promote a positive and engaging workplace cultureAdministrative SupportAssist with general administrative tasks as neededManage incoming deliveries and mail distributionSupport onboarding logistics for new employees (workspace setup, supplies, etc.)Qualifications:High school diploma or equivalent requiredStrong organizational and multitasking skillsExcellent attention to detail and problem-solving abilityAbility to work independently and take initiativeStrong communication and interpersonal skillsProficiency in Microsoft Office and SharepointPreferred Qualifications:2+ years of experience in office administration or a similar roleExperience with travel booking and vendor managementBasic office accounting and GAAP understandingAssociate’s or Bachelor’s degree in business related majorPhysical Requirements:Ability to lift and carry up to 25 lbs (e.g., supply boxes)Comfortable performing light cleaning and organizing tasksAbility to be on-site full-time in Charlottesville, VAWhat We Offer:Competitive salary and benefits packageCollaborative and supportive team environmentOpportunity to play a key role in shaping the office experience
