Position Overview
Hay Runner is seeking a highly organized and proactive Human Resources Manager to oversee core administrative, HR, and operational systems that keep our business running smoothly and positions Hay Runner for growth. This role is central to supporting our team, maintaining compliance, managing vendor relationships, and ensuring seamless day-to-day operations across our Portland, Bath and Rockport locations.
You'll serve as a key connector across teams: supporting leadership, project managers, and field staff while owning critical systems related to HR, Payroll, IT coordination, insurance, and office operations.
Key Responsibilities
HR, Benefits & Compliance
Payroll
Administer employee benefits and insurance programs, including enrollments, changes, and audits
Maintain compliance with safety programs, workers' compensation, and insurance requirements
Manage employee relations, performance processes, and documentation (PIPs, reviews, etc.)
Coordinate with insurance partners and support audit preparation
Track and maintain benefits and compliance records
Operations & Administrative Management
Oversee daily office operations, supplies, and facilities coordination
Support project managers and team members with administrative needs
Maintain business filings and operational documentation
Assist with fleet coordination (registrations, maintenance tracking)
Act as a liaison between Portland, Bath and Rockport teams
IT & Systems Coordination
Serve as primary point of contact for IT vendors and support
Coordinate system transitions (Google Drive, Buildertrend, etc.)
Manage software licenses and user access across platforms
Support device audits and infrastructure updates
Vendor & Purchasing Management
Maintain vendor accounts and purchasing permissions
Manage relationships with key vendors and service providers
Track certificates of insurance (COIs) and vendor compliance
Office & Team Support
Manage shared office systems (voicemail, alarms, supplies)
Support company culture and team engagement
Assist with incoming communications and operational troubleshooting
Qualifications
3–7+ years experience in operations, HR, or office management (construction or trades experience a plus)
Strong organizational and systems management skills
Experience with HR administration, benefits, and compliance
Comfortable managing vendors, software systems, and cross-functional workflows
Excellent communication and problem-solving abilities
Ability to balance strategic initiatives with day-to-day execution
Compensation & Benefits
Hourly Rate: $35 – $45 per hour (based on experience)
