Job#: 3034495Job Description:Job Title: Administrative Assistant – HRCM ProjectLocation: Onsite – 5 days/week (Monday–Friday)Hours: 6:30 AM – 4:30 PMEmployment Type: Contract (1 opening)Position OverviewWe are seeking an experienced Administrative Assistant to provide structured coordination and administrative support for the HRCM construction project. This role supports a live construction environment and requires strong organizational skills, sound judgment, and the ability to manage high-visibility activities without disrupting field execution.The Administrative Assistant will support the Project Director and Senior Managers, ensuring schedules, communications, and tracking systems are well-coordinated to enable effective decision-making and project execution.There is one round of interviews with the host manager. There is a strong possibility of conversion based on performance and budget, though conversion is not guaranteed.Key ResponsibilitiesManage complex calendars and scheduling for project leadership, including tours, meetings, and stakeholder engagementsCoordinate high-visibility project activities while maintaining control of requests and minimizing disruption to field executionApply sound judgment and awareness of a live construction environment to appropriately prioritize requestsEnsure activities align with safety requirements, execution plans, and established approval processesServe as a central coordination point for communications across project stakeholdersMaintain organized tracking systems to provide visibility into project activities and requestsSupport the Director and Senior Managers with day-to-day administrative tasksCoordinate meetings, conferences, and special project activitiesPerform general administrative duties including documentation, filing, correspondence, and records managementAssist with financial recordkeeping and basic reporting as neededRequired QualificationsHigh school diploma required(Bachelor’s degree preferred)8+ years of administrative experience, supporting senior leadership or project teamsStrong organizational and scheduling skills with experience managing complex calendarsExcellent written and verbal communication skillsProven ability to exercise judgment and proactively anticipate leadership needsExperience working in or supporting a construction, field, or operational environment preferredProficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)Ability to work onsite full-time during standard project hoursEverforth Apex is a world-class IT services company that serves thousands of clients across the globe.
