Asset Coordinator - Lighting - Clearwing

Function:The Asset Coordinator is responsible for procuring subrental equipment lists, advising on pricingand substitutions with Operations, and developing strong vendor relationships. This role includesconducting pricing audits and notifying when inventory levels are low to initiate warehousechecks. A successful Asset Coordinator is an effective communicator, highly organized, and hasa strong grasp of fiscal responsibility.Essential Duties and Responsibilities:• Assist the Operations team with financial forecasting for bids to ensure they stay withinbudget, based on current market conditions and gear availability• Facilitate internal gear transfers and provide recommendations for scheduling BoomerangTrucks• Ensure that sub-rentals are arranged and accurately entered in the production inventorysoftware to reflect overall availability and costs• Help identify gear transitions between shows and support in detecting and resolving gearshortagesCreate purchase orders for sub-rentals to submit to vendors and reconcile invoicesEnsure that appropriate transportation is ordered, and vehicles/freight are properlyscheduled for all sub-rentals, in coordination with the Transportation ManagerBuild and maintain relationships with rental vendors and manufacturersGenerate reports on frequently transferred and sub-rental items to recommend capitalimprovements to the Operations ManagerCollaborate with other Asset Coordinators to expand company's sub-rental networkStay informed about the latest and upcoming technology and equipment releasesWill serve as the primary contact for lighting, rigging and heavy equipment sub-rentals,and assist other Asset Coordinators with staging, backline, video, and miscellaneous siteneeds as demand fluctuates.Create and maintain a sub-vendor catalog for cross-rentalsAvailable for emergency calls to address broken gear and develop a strategy for on-sitereplacementsCompetencies:Excellent written and verbal communication skillsOrganized and able to keep files up to dateCritical thinking: ability to organize, prioritize, and perform effectively under stressfulsituationsWorks well with timelines and deadlinesSelf-motivated and passionate with the ability to work in a fast-paced environmentProfessional interaction: tactful, positive, and an effective communicator, both verballyand in writing• Maintain a professional attitude, appearance, patience, effective communication, andstrong work ethicSkills and Qualifications:Five (5) years' experience in production entertainment industryDeep knowledge and understanding of company's lighting and rigging inventoryAbility to work in high stress environment with tight deadlinesAvailability outside of normal business hoursHigh school diploma or equivalentPhysical Working Conditions:Regularly bend, twist, stretch, push, pull and carry, lift 50-75 lbs.Sit or stand for prolonged periods of time.Walk up and down stairs or ladders and comfortable with heights.Work in various temperatures and outdoor weather conditions.Work "on-call" as needed including some nights, weekends, and holidays.Work long hours and overtime as required.Able to Travel (possibly with short notice).
