Project Coordinator
Job Summary
CraneWerks is on the lookout for a Project Coordinator. This role involves supporting the planning, scheduling, and execution of overhead lifting equipment installations, ensuring that projects are completed safely, correctly, and within the set deadlines. The Project Coordinator will collaborate closely with the Installation Manager, Project Managers, vendors, dealers, and installation teams to coordinate materials, paperwork, compliance, and financial aspects for each project.
Key Responsibilities
Assist in setting up and canceling lift equipment for installation projects, ensuring all related details are accurately recorded.
Verify progressive payments and required financial approvals before installations begin.
Create jobs, purchase orders (POs), and sales orders for vendors and dealers in alignment with project requirements.
Order and track materials for installation crews, confirming availability and delivery timelines that match project schedules.
Meet regularly with the Installation Manager and Project Managers to review missing or outstanding information prior to installation start dates.
Log receipts and expenses for installation jobs to support accurate job costing and financial reporting.
Assist in ensuring installation crew members have up-to-date physicals, certifications, and required safety training.
Prepare, send, and track all pre-installation paperwork required by CraneWerks and end users.
Send post-job paperwork and closeout documents to dealers and other stakeholders promptly after completion.
Ensure invoices are received, matched to jobs, and sent to Accounts Payable for processing in a timely manner.
Confirm all forms and safety documentation are completed as required by end users and job sites prior to mobilization.
Assist in compiling complete installation packets for Project Managers and the Installation Manager, including drawings, permits, safety forms, and job details.
Check in ordered materials upon arrival to verify accuracy, condition, and completeness before they leave CraneWerks for the job site.
Qualifications
Strong organization and attention to detail in a fast-paced, project-driven environment.
Effective written and verbal communication skills for working with internal teams, vendors, dealers, and customers.
Ability to manage multiple projects and deadlines simultaneously.
Comfort working with job costing, POs, invoices, and related documentation.
Basic understanding of safety requirements and documentation for industrial job sites (preferred).
Pay: $20.00 - $25.00 per hour
