Referral & Front Office Coordinator
Job SummaryThe Referrals & Front Office Coordinator will be responsible for preparing and processing all managed care referral paperwork, as well as additional Front Office duties. They will manage the process of scheduling patients for exams and procedures with specialists and providers inside and outside of the primary care physician's office. This group is looking for someone who is interested in being part of a dynamic team that focuses on excellent service to others while handling clerical, environmental, and organizational tasks.Job ResponsibilitiesProcess patients’ referrals and ensure that patients are scheduled for their recommended non-PCP appointmentsLiaise between Medicare patients/offices and the providers, making sure to effectively process, monitor and communicate all aspects of the patients’ referralsMaintain list of all preferred specialists and ancillary providers for the assigned areaObtain referral authorizations if required by the health planCall the referred Specialists and schedule appointment for patientsCommunicate respectfully and effectively with patients regarding appointmentsFollow guidelines/workflows to complete & log all referrals processed through systemMeet monthly/quarterly goals regarding utilization and process of ordered referralsMaintain strictest confidentiality; adhere to all HIPAA guidelines/regulationsAssist with coordination of activities related to insurance pre-certification/authorizationOther duties as assignedFront Office Duties (as assigned): Answering phones efficiently and with the proper etiquette, directing the calls to the appropriate person/department. Updating patient information in computer when necessaryScheduling new patients, collecting insurance information, filling out proper forms to set up new patient files and preparing file labelsVerifying medical insurance for all appointments (at least one day prior to service) and walk-in patientsMaintaining inventory of new patient forms and office supplies required for front desk activitiesMonitoring patient wait time and ensuring physicians' on-time schedule. Prioritizing appointment versus walk-in.
