Office Administrator – Pipeline Construction & RepairPosition OverviewJoin our team as an Office Administrator in Troy, MO. This central role is essential in ensuring the smooth and efficient operation of our office. You will report to the Controller and support daily functions, assist the accounting department with billing and reconciliations, and provide administrative support for several human resources activities. We are looking for an organized and proactive individual who thrives in a construction industry environment, where accuracy, communication, and follow-through are key.Key ResponsibilitiesOffice Administration:- Oversee day-to-day office operations to maintain a clean, organized, and efficient work environment.- Manage office supplies, equipment, vendor relationships, and service scheduling.- Greet visitors, answer phones, and route inquiries to the appropriate personnel.- Maintain filing systems, digital records, and general office documentation.- Assist with scheduling meetings, preparing materials, and coordinating internal communications.Accounting Support:- Assist with customer billing, invoice preparation, and supporting documentation.- Support accounts receivable activities, including payment posting and follow-up.- Perform basic account reconciliations and assist with month-end tasks.- Help maintain accurate accounting records and organized backup documentation.- Provide general support to the Controller and accounting team as needed.Administrative HR Support:- Assist with new-hire paperwork, onboarding coordination, and maintaining personnel files.- Support timekeeping documentation and communication with supervisors.- Help track training records, certifications, and compliance documentation.- Provide administrative support for HR-related communications and scheduling (decision-making HR authority is not included).QualificationsRequired:- Prior office administration or business operations experience.- Strong organizational skills with the ability to manage multiple priorities.- Proficiency with Microsoft Office (Excel, Word, Outlook).- Strong communication skills and a professional customer-service mindset.- Ability to work on-site in Troy, MO, on a full-time basis.Preferred:- College degree in Business, Accounting, or a related field (relevant work experience will be considered in lieu of a degree).- Experience supporting accounting functions such as billing or reconciliations.- Prior experience in construction, industrial services, or field operations environments.- Familiarity with accounting or ERP software.Key Competencies- Highly organized with strong attention to detail.- Ability to work independently and support multiple departments.- Strong problem-solving skills and follow-through.- Professionalism, confidentiality, and reliability.- Comfortable interacting with field personnel, vendors, and customers.CompensationPay is commensurate with experience and competitive within the Troy, MO market.Work Location and Conditions  This is an in-office role supporting operations, accounting, HR administration, and general business functions.
