Benefits Associate
Position Summary: The Benefits Associate is responsible for managing the company’s employee benefits programs to ensure a seamless, compliant, and positive experience for employees. This role serves as the primary liaison with benefits vendors and internal partners, including Payroll, HR, and Finance, to oversee enrollments, plan changes, and program costs. The Benefits Associate also supports reporting, compliance, and employee education, helping employees understand and maximize their benefits while contributing to the overall effectiveness and efficiency of the organization’s total rewards programs. Key Deliverables: Benefits & Leave Administration: Administer and support employee benefits programs including medical, dental, vision, life insurance, disability, 401(k), and other company-sponsored offerings. Manage employee leave programs, including FMLA, state-mandated leaves, PTO, and other paid/unpaid leave. Process new hire enrollments, qualifying life event changes, cancellations/terminations, and leave requests accurately and within required timelines. Maintain a strong working knowledge of plan designs, eligibility rules, leave policies, enrollment timelines, and vendor processes. Coordinate benefits and leave deductions with Payroll to ensure accuracy and timely processing. Serve as a backup to the Payroll Administrator, assisting with routine payroll processing, reconciliations, and reporting as needed, and escalating complex or sensitive issues. Assist with audits, reconciliations, and general benefits/leave compliance support (documentation, process controls). Maintain accurate records in HRIS/benefits and leave systems; perform reconciliations, generate reports, and track trends for HR/Finance. Serve as a primary point of contact for benefits and leave vendors/carriers; monitor service levels and resolve issues. Communicate benefits and leave programs clearly to employees; support enrollment and leave education sessions. Enrollment & Employee Life Event Processing Process new hire enrollments, qualifying life event changes, and cancellations/terminations accurately and within required timelines. Coordinate benefits deductions and changes with Payroll to ensure accuracy and timely processing. Troubleshoot discrepancies (e.g., missing deductions, eligibility issues, coverage errors) and resolve through cross-functional collaboration. Benefits Records, Reporting & Cost Monitoring Maintain accurate benefits records in HRIS/benefits platforms and vendor portals. Perform regular data reconciliations across payroll, HR systems, and vendor invoices; investigate and correct variances. Monitor benefits costs and utilization trends as assigned; prepare reports, dashboards, and ad hoc analyses for HR/Finance. Support metrics tracking and process documentation to improve efficiency and minimize errors. Vendor Management Serve as a primary point of contact for benefits vendors (carriers, brokers/consultants, administrators). Track vendor deliverables and service levels; escalate and follow through on issues to resolution. Coordinate implementation of plan changes, process updates, and system enhancements with vendors and internal stakeholders. Support vendor billing reviews and ensure accuracy in partnership with Finance/AP. Employee Communication & Education Develop, maintain, and update benefits materials such as guides, FAQs, intranet content, and enrollment instructions. Communicate benefits updates clearly and proactively, ensuring employees understand options and processes. Support or lead employee education sessions (live and/or virtual), including new hire benefits overviews and enrollment support. Provide exceptional customer service by answering benefits questions with empathy, accuracy, and confidentiality. Perform other duties and responsibilities as assigned by the supervisor or HR leadership. Basic Requirements: Bachelor’s degree in Human Resources, Business Administration, or a related field. 2+ years of HR experience (experience working with a PEO is a plus). Hands-on experience administering benefits programs such as health plans and 401(k). Experience processing enrollments, life events, and terminations with strong attention to detail. Strong knowledge of benefits administration workflows, including payroll coordination and vendor interactions. Proficiency with HRIS/benefits platforms and Microsoft Excel (or Google Sheets) for reporting and reconciliations. Strong written and verbal communication skills with the ability to explain benefits clearly to employees. Ability to handle sensitive information with discretion and maintain confidentiality Additional Preferences: Prior HR experience within a GMP environment Experience with advanced HRIS platforms (e.g., Workday, UKG, ADP Workforce Now) and the ability to work efficiently across multiple systems. Experience supporting open enrollment and benefit renewals, including vendor coordination and employee education. Working knowledge of federal and state employment laws, including New Jersey–specific requirements.. Experience supporting HR audits, payroll audits, compliance reviews, and data integrity checks. Demonstrated ability to handle sensitive employee information with discretion and professionalism. Ability to adapt quickly to new processes, system changes, or evolving business needs. Commitment to providing timely, customer-focused support to employees, managers, and cross-functional partners. Experience with reporting, cost monitoring, or benefits analytics Intermediate to advanced Excel skills, including use of formulas, VLOOKUP, pivot tables, and data filters. HR certification or benefits-related coursework/certification (e.g., CEBS) is a plus This is an exempt, salaried role with an anticipated compensation range of $75,000 to $104,000.
