In this role, the BA I ensures smooth daily front office operations while creating a welcoming, professional, and patient-centered experience.This position combines customer service, scheduling, insurance coordination, and financial communication, helping patients understand their treatment options and feel confident moving forward with care. The BA I plays a key role in both the patient experience and the financial success of the practice.Key ResponsibilitiesGreet and check in patients, creating a positive and professional first impression in person and over the phoneManage front desk operations including scheduling, answering phones, patient check-in/check-out, and daily administrative tasksClearly explain treatment plans and assist patients in making informed financial decisions, including securing commitment for treatmentVerify insurance coverage and process claims accurately to maximize patient benefits and ensure proper reimbursementMaintain organized patient records while strictly following HIPAA guidelines to protect patient informationHandle patient questions, concerns, and complaints with professionalism and a solutions-oriented approachRun reports, manage office systems, and support overall front office efficiencyCollaborate closely with doctors, hygienists, dental assistants, and the Operations Leader to ensure seamless patient carePromote a positive, team-oriented work environment and uphold company values and standardsEnsure every patient has an exceptional, comfortable experience from arrival to departureComplete required continuing education and follow OSHA and safety protocolsPerform additional duties as assignedWhat a “Business Assistant” Means in This RoleIn a dental setting, a Business Assistant is not just administrative support—this role is the face of the practice. You are the person who:Sets the tone for the patient experienceHelps patients navigate scheduling and financesBridges communication between clinical and administrative teamsEnsures the office runs efficiently while keeping patient care the top priorityRequired QualificationsHigh School Diploma or equivalent2+ years of experience in a business, customer service, or office settingPreferred QualificationsAssociate’s or Bachelor’s degreePrevious dental or healthcare front desk experienceSkills & AbilitiesStrong customer service mindset with a patient-first attitudeOrganized, detail-oriented, and able to multitask in a fast-paced environmentConfident communicator, both in person and over the phoneBasic math skills (percentages, balances, payments, etc.)Tech-savvy and comfortable with office software and systemsSelf-motivated and able to work independentlyPositive, team-oriented attitude with a “can-do” approachWillingness to learn and grow through ongoing training and feedback
