This role is critical to keeping our systems organized, our office running smoothly, and our administrative processes consistent.This position is ideal for someone who has experience working in a professional office environment, understands basic corporate etiquette and reporting structure, and is eager to grow into expanded operational responsibility over time.Key ResponsibilitiesOperations & Systems SupportProvide administrative support for company systems including Procore, Microsoft 365, Divvy, Coast, MobiClocks, and related platformsAssist with user setup, permissions, basic troubleshooting, and system organizationCoordinate with internal team members and vendors to ensure systems are maintained and functioning properlyPayroll & Timekeeping SupportReview employee time punches using Samsara GPS and timekeeping toolsVerify accuracy of time records and publish timecards to ProcoreCommunicate discrepancies to supervisors for resolutionPayroll processing experience is a plus, but not requiredOffice AdministrationManage office supplies, equipment, and vendor relationships (cleaning, maintenance, etc.)Coordinate office maintenance requests and service schedulingSet up desks, equipment, and access for new hiresMonitor, scan, and distribute incoming mail and documentsMaintain a clean, organized, and professional office environmentAccounting & Administrative SupportPerform basic administrative tasks in QuickBooks OnlineAssist with syncing transactions and organizing recordsContact customers regarding past-due invoices and follow up on collectionsMaintain professionalism and accuracy when communicating financial informationQualifications & ExperienceRequired:Prior experience working in a professional office or corporate environmentStrong organizational skills and attention to detailAbility to follow established processes and respect reporting structureProfessional communication skills (email, phone, in-person)Comfortable working with multiple software platformsReliable, punctual, and able to manage multiple prioritiesPreferred (Not Required):Experience in construction, facilities, or service-based industriesFamiliarity with Procore, QuickBooks, or timekeeping systemsBasic understanding of accounting or payroll workflowsInterest in operations, systems, or business managementWhat We're Looking ForSomeone who takes ownership of their work and follows throughComfortable supporting multiple departments without oversteppingCurious, coachable, and open to learning new systemsRespectful of hierarchy, accountability, and processMotivated by growth and increased responsibility over timeBenefitsMedica, Dental, Vision, and Life InsurancePaid Time Off8 Company Paid HolidaysProfit SharingGrowth OpportunityThis role is designed to grow.
