Co-Counsel Support Specialist

We are seeking a detail-oriented and highly organized Co-Counsel Specialist to join our team. The primary responsibility of this role is to assist with the management and administration of Big Auto’s relationships with co-counsel firms across the nation. This involves collecting, organizing, maintaining, and updating crucial information about co-counsel firms, their practice areas, and DMAs. The ideal candidate will excel in communication, have strong technical skills, and be adept at managing multiple sources of information. This role will also involve assisting with the real-time assignment of cases to the most suitable co-counsel, ensuring proper onboarding, and evaluating co-counsel performance. Compensation: $70,000 - $105,000 Responsibilities: Relationship Management: Collect and organize executive contact information, intake details, firm practice areas, and state-specific issues for all co-counsel firms. Maintain and update information in a comprehensive and accessible manner utilizing Sharepoint, Teams, and Filevine. Develop an understanding of the strengths and weaknesses of individual co-counsel firms. Case Assignment and Management: Assist in the real-time assignment of cases to the most suited co-counsel based on their expertise and historical data. Create and Manage co-counsel user logins to Filevine and troubleshoot login and project access issues as needed. Onboarding and Training: Assist with the training and onboarding of co-counsel firms. Ensure co-counsel are properly onboarded, have access to necessary resources, and understand company expectations. Assist with the development of training materials and instructional documentation. Performance Monitoring: Monitor co-counsel’s activity and inactivity to ensure prompt client communication and consistent legal processes. Perform regular audits of co-counsel performance, documenting and addressing any non-compliance issues. Field and address concerns or complaints from intake professionals, documenting patterns of non-compliance and elevating issues to the Director as necessary. System Management: Organize and manage the Teams function in Filevine, ensuring appropriate access and project selection for co-counsel. Assist with the audit of closed and withdrawn co-counsel cases to ensure proper documentation. Communication and Documentation: Communicate clearly and effectively both in writing and verbally with co-counsel and internal teams. Document and report on co-counsel activities, performance, and issues. Qualifications: Education: Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred. Proven experience in a role requiring detailed information management and relationship administration. Experience with CRM software is a plus; familiarity with Filevine is highly preferred. Proficiency in Microsoft Outlook, Word, Excel, and SharePoint. Experience with Filevine or similar project management software. Exceptional verbal and written communication skills are essential. Strong ability to manage multiple tasks and sources of information efficiently. Ability to assess co-counsel performance, identify patterns, and address issues tactfully.
