Employment is contingent upon successfully passing a pre-employment drug test.Position Overview:The maintenance admin assistant plays a central role in supporting the maintenance department through documentation management, CMMS (computerized maintenance management system), data integrity, scheduling, and technical coordination. This position ensures that equipment records, maintenance activities, preventive maintenance schedules, and inventory controls are accurate, organized, and aligned with operational needs. This role requires strong administrative capabilities, technical literacy, and effective cross-functional communication within a manufacturing or metal-finishing environment.Key Responsibilities:Maintenance Administration & Documentation:Maintain and update all maintenance documentation, including equipment records, preventive maintenance logs, shift schedules, inspection reports, calibration records, and repair histories.Generate, track, and close work orders, service requests, and corrective maintenance tasks in alignment with departmental priorities.Ensure documentation meets internal quality standards and external regulatory requirements.Manage and archive vendor documentation such as equipment manuals, technical schematics, tooling specifications, and equipment certifications to support audits and maintenance readiness.CMMS System Support:Enter, update, and validate maintenance-related data in the CMMS system, ensuring accuracy for equipment history, preventive maintenance activities, and part usage.Collaborate with IT specialists to improve maintenance workflows within the CMMS, enhance data integrity, and resolve discrepancies.Required Qualifications:Experience in a manufacturing or metal-finishing environment (electroplating, anodizing, coatings, or similar preferred).Previous experience supporting maintenance, engineering; or operational departments.Familiarity with preventive maintenance systems and CMMS functionality within ERP platforms.Knowledge of industrial safety regulations, compliance standards, and environmental requirements.
