Medical Assistant/Front Office Assistant
Provides assistive care to patients. Facilitates the efficient delivery of patient care, supports the professional role of the licensed staff, and provides support and assistance as directed by licensed staff in rendering basic healthcare to the patient. Coordinate all appointment scheduling activities and ensure all telephone calls are adequately screened, transferred; messages are accurately taken and delivered for the assigned service under the direction of the Clinical Operation Manager. Also responsible for registration and insurance (eligibility) verification.
Knowledge, Skills and Abilities
Individuals must possess the knowledge, as well as the following skills and abilities or be able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
1. Must have knowledge of medical terminology and basic non-invasive diagnostic equipment (blood pressure cuff, stethoscope and ophthalmoscope and otoscope) as well as a general understanding of basic physical examination.
2. Demonstrated phlebotomy skills.
3. Must have skills and relevant hands on experience acquired from working in a procedure based medical environment.
4. Must have skills necessary in order to set up document formats in Word, Excel, and any other software program required by this position.
5. Knowledge of basic clerical and communication principles generally acquired through a high school education.
6. Computer and typing skills.
7. Applicant must have excellent interpersonal/customer service skills including the ability to display courtesy and consideration to patients, guests, providers, students, staff, and the public; be culturally sensitive.
8. Excellent verbal and written communications skills.
9. Knowledgeable in Insurances.
10. Knowledge of confidentiality standards and the ability to maintain confidentiality of all records and information which pertains to patients, providers, employees, the organization and in related interests.
11. Ability to perform all tasks in a safe manner in compliance with company safety policies and according to applicable regulations, which includes maintaining a neat workstation and environment.
Required Qualifications
| 1. Education: Any combination of education, training or experience that provides the required
knowledge, skills, and abilities. Graduate Equivalency Diploma or High School Diploma. 2. Experience: 1 – 3 years prior experience in a medical office environment. Knowledge of
medical terminology and various types of medical testing equipment or devices. Experience in a
clinical medical setting is required, and ideal applicant would possess a working knowledge of
health insurance eligibility and benefits processes.
Preferred Qualifications
| 1. Certification: CMA (AAMA), BLS, CPR
2. 3-5 years’ experience preferred. 3. Experience with Electronic Medical Record.
Essential Job Duties
Key Responsibilities
Prepares patients for examinations and diagnostic procedures according to clinic procedures such as recording temperatures, pulse rate, blood pressure, height and weight and responses to standardized medical history questions, including but not limited to allergies and current medications. Vision screening and Audiometric screening. Performs specialty skills such as suture removal and injections (IM, subcutaneous and intradermal). Ear lavages and administration of vaccines. Autoclave and spore testing, peak flows. May apply leads and monitors for diagnostic procedures such as EKG and ultrasound scan under the directsupervision of licensed personnel. Reports all observed patient concerns and changes in condition to a licensed staff member.

Performs Clinical Laboratory Improvement Amendments (CLIA) Waved Lab tests such as urine dip stick, Hgb, Hct, finger stick, glucose, hemoccult, Strep test, HIV test, HCG and reports results to the appropriate personnel. May perform patient phlebotomies in accordance with clinic procedures and providers’ orders. Attends and completes mandatory in-services including infection control, safety, CPR, equipment usage and procedures according to clinics and department policies.

Acts as a chaperone for health care providers during patient examination as requested and assists with procedures.

Monitors and cleans assigned patient examination rooms, unit areas and unit equipment reporting outdated supplies, stock levels and restock set levels of items and necessary equipment repairs.

Answers patient appointment telephone calls with responsibility for full registration of new patient scheduled at the WesternU Health Oliver Station.
Schedule new/established patient appointments from referring physician offices and patient requests. Ensure that all required information is accurately documented and entered in computer system.
Review status of insurance, verify and update information for both new and established patients.
Place all calls for the providers when requested.
Update, monitor, audit and revise all patient appointment with provider’s schedules as needed ensuring accuracy and thoroughness.
Screen all calls to the provider of assigned service in order to effectively refer calls.

Provide front office staff coverage (patient insurance eligibility verification, scheduling return appointments, phone messages and checking-in, collecting payments, verifying address and phone number, emergency contact and provide patients with the appropriate forms to complete)
