We are looking for a sharp, results-oriented Executive Assistant to support the CEO of a growing small business. This part-time role is designed for a "closer"—someone who is highly organized, excellent on the phone, and capable of managing the administrative engine that drives our sales. The primary goal of this position is to take lead management and administrative burdens off the CEO’s plate, allowing them to focus on high-level strategy while you ensure no sales opportunity falls through the cracks. Key Responsibilities Sales Support & Growth (50%) Lead Pursuit: Sourcing potential clients and conducting initial outreach to qualify leads. Proactive Follow-ups: Managing the CEO’s "hot leads" list, ensuring prospects receive timely follow-up calls, emails, and proposals. CRM Management: Keep our sales database immaculate. Update lead statuses, set reminders for the CEO, and track the sales pipeline. Sales Materials: Draft and send professional quotes, service agreements, and pitch decks. Administrative & Customer Service (30%) Inbox & Calendar: Monitor the CEO’s email for urgent client requests and manage a high-priority meeting schedule. Customer Liaison: Act as the first point of contact for existing customers, answering questions and resolving issues with a focus on retention. Reporting: Compile weekly snapshots of sales activity and administrative tasks completed. Personal Assistance & Transportation (20%) CEO Transportation: Drive the CEO to local meetings, site visits Office/Personal Errands: Handle occasional tasks (document drop-offs, supply pickups, or personal errands) to maximize the CEO’s productivity. Qualifications Sales Mindset: You aren't afraid to pick up the phone and you understand the importance of a quick follow-up. Exceptional Organization: You can manage multiple projects at once without losing track of the details. Strong Writer: Ability to draft professional, persuasive emails and documents. Tech Proficient: Experienced with CRM tools, Microsoft Office, and Google Workspace. Reliable Driver: Must have a valid driver’s license, a clean record, and a professional demeanor.
