Outreach Assistants
Work Schedule: 15-20 hours per week; shifts based on operational needs of the organization. MUST be available to work fall, winter, spring, and summer semesters, some nights and weekends. This position works on campus. OVERVIEWEstablished in 1963, Associated Students, Inc. (ASI) is a non-profit corporation guided by a student board and managed by full-time professional staff. ASI is a part of the Cal Poly Pomona Division of Student Affairs with a dashed reporting line to Administrative Affairs. ASI serves the entire campus population, including over 26,000 students, by providing opportunities for student engagement, student employment, and a multitude of programs and services such as recreation and wellness, student union and activities, student government, and childcare. ASI operational support areas include human resources, financial services, information technology, facilities management, and marketing. ASI employees exhibit our values of integrity, honor, dedication, loyalty, and respect in every interaction with each other, our students, the campus community, and guests of Cal Poly Pomona.POSITION DEFINITIONUnder general supervision from the Marketing and Production Coordinator the Outreach Assistant performs routine and non-routine assignments in support of the Outreach Supervisor and are responsible for educating members of the Cal Poly Pomona and surrounding communities of ASI's programs, events, services, and facilities through various marketing mediums, techniques, and strategies.ESSENTIAL DUTIESAssists with implementation of the department's Outreach programConducts ASI presentations to various communities on campusResponsible for managing all ASI digital and print marketing distribution and rotation in all ASI operated facilities and various locations on campus.Distributes various mediums of promotional materials both on and off campusCollaborates with departmental staff and Associated Students, Inc. (ASI) team membersAssists with conducting, managing, and distributing ASI giveaways inventoryProfessionally interacts with the campus community including students, staff, and alumniProvides setup and take down of ASI marketing booths at tabling events; manages preparation of marketing merchandise for ASI tabling eventsAssists with general office duties in relation to the Outreach programRemains current on and knowledgeable of ASI events, programs, facilities, and servicesRegularly communicates ASI event and activity information to the campus community including various clubs, organizations, and entitiesAttends campus club, organization, and council meetings to promote ASIBuilds partnerships with various University departments and affiliates to create opportunities to promote ASI activities, events and initiativesPresents professional appearance and attitude, and maintains a high standard of customer serviceAttends departmental and organizational team meetings and trainingQUALIFICATIONSAbility to perform scripted and impromptu information about ASI to audience sizes of up to 500+ attendeesAbility to memorize and regurgitate content verbatimExperience with public speaking, preferredPositive attitude with the ability to work successfully within a team-spirited environmentFamiliarity with ASI programs, events, facilities, and services, preferredGeneral knowledge of campus policies, preferredEngagement in co-curricular areas of campus (athletics, clubs, organizations, etc.), preferredAbility to maintain professional work conductAbility to follow routine verbal and written instructionsAbility to adhere to work rules, follow directions, use time effectively and work productively without close supervisionAbility to successfully complete tasks in a fast-paced, changing environmentStrong interpersonal and networking skillsExcellent communication skills with the ability to effectively communicate clearly and concisely, both orally and in writingAbility to make independent decisions and recommendationsDemonstrated ability to work with a diverse student population and campus communityAbility to operate a computer workstation using word processing, spreadsheet and other computer applications in usePOSITION SENSITIVITYBased on the duties and responsibilities of this position, this position has been designated to be a sensitive position with access to sensitive data. In addition, student employees must be currently enrolled in a minimum of 6.0 units (undergraduate) and 4.0 units (graduate), international student employees must be enrolled in a minimum of 12.0 units (undergraduate) and 6.0 units (graduate) at the end of the add-drop period. Student employees are required to have a minimum overall and Cal Poly Pomona GPA of 2.0 and be in good academic standing with the University. Individuals enrolled only in Extended University are not eligible for hire. Exceptions to the unit load requirement are allowed during the summer term and for students who have applied for graduation for the current term.WORK ENVIRONMENTWhile performing the duties of this job, the employee is frequently required to sit, talk, and hear; manual dexterity, eye-hand coordination, and verbal communication; use of office equipment: telephones, calculator, copier and fax.
