Position SummaryWe are seeking a highly organized, proactive, and business-minded professional to serve as a hybrid Senior Executive Administrative Assistant and Entry-Level Chief of Staff. This role combines best-in-class executive support with strategic coordination and operational execution across a seven-member executive leadership team.The ideal candidate thrives in a fast-paced environment, exercises sound judgment, maintains strict confidentiality, and is eager to grow into broader strategic and operational responsibilities over time. Essential Duties and ResponsibilitiesThe essential functions include, but are not limited to the following: Strategic & Chief of Staff-Level ResponsibilitiesTrack company-wide OKRs, KPIs, and executive scorecards; monitor progress and escalate risksDrive cross-functional projects on behalf of the SLT (e.g., systems implementations, cost initiatives, headcount planning, process improvements)Identify operational inefficiencies and recommend process improvementsSupport preparation and coordination of board reporting materialsMaintain executive KPI dashboards and reporting cadenceAssist in organizing offsites, quarterly planning sessions, and strategic workshopsConduct research, analysis, and create executive-ready presentationsEnsure alignment across the seven executives on key initiatives and deadlinesExecutive Team SupportManage CEO calendar, travel, and meeting logistics with a focus on prioritization and time optimizationPrepare agendas, materials, and briefing documents for board meetings, investor updates, executive meetings, and strategic reviewsDraft, edit, and proofread executive communications (internal and external)Track follow-ups, commitments, and action items from executive and board meetingsManage CEO expense reportingManage high-priority workflows and special projectsHandle confidential and sensitive information with discretionOffice Operations & People ManagementDirectly manage and provide oversight to the Office Services AssistantDelegate and prioritize office-related tasks to ensure efficient daily operationsOversee office logistics including vendor coordination, supplies, facilities requests, and visitor managementEstablish and maintain office processes and standardsSupport company events, executive offsites, and internal meetings in partnership with the Office Services AssistantProvide coaching, performance feedback, and development guidance to the Office Services AssistantEnsure a professional, organized, and welcoming office environment aligned with company culture Mandatory Qualifications (Knowledge, Skills and Abilities)To be considered, candidates must have:7+ years of executive administrative experience supporting C-level leadershipPrior experience managing junior administrative staff or office personnel preferredExperience in SaaS, technology, or private equity-backed environments strongly preferredDemonstrated ability to operate with discretion and high confidentialityExceptional organizational and prioritization skillsStrong written and verbal communication abilitiesAdvanced proficiency in Microsoft Office (especially PowerPoint and Excel)Experience supporting board materials preferredProfessional maturity and executive presenceBachelor's degree preferred Core CompetenciesExecutive presence and professionalismStrategic thinking with strong attention to detailMaintain strict confidentiality around financial, personnel, and strategic mattersAbility to anticipate needs before they ariseStrong written and verbal communication skillsHigh ownership mentalityComfort operating in ambiguityAbility to balance tactical execution with strategic awareness What Success Looks Like in Year OneSeamless board and executive meeting preparationIncreased visibility and accountability on company-wide initiativesImproved cross-functional communication and follow-throughDemonstrated ability to independently lead select operational projectsSmooth, professional office operations with strong delegationEffective development and oversight of the Office AssistantCFO able to focus more time on strategic and financial leadership Growth Path· This role is designed as a development opportunity for someone who aspires to grow into a Chief of Staff, VP of Operations, or Finance leadership role. Physical Demands and Work EnvironmentThe physical demands described here must be met by an employee to perform the essential functions of this position successfully.
