This role supports day-to-day accounting operations, vendor and customer account management, accounts payable processing, and key administrative tasks that keep our finance department running smoothly.ResponsibilitiesVendor AccountsCollect W-9s and Certificates of Insurance (COIs) for new vendor accountsRequest NTTCs when applicableSet up new vendor accounts in FusionReview and track COI renewalsEnter COI information into Fusion vendor profilesUpdate vendor accounts in Fusion as neededMonitor vendor statements and request missing invoicesVendor PayablesCollect and save vendor invoices in the accounting folderMatch vendor invoices with Fusion receiving reports and packing slipsEnter invoices against purchase ordersEnter vendor invoices not linked to purchase ordersResearch discrepancies between POs, receiving records, and invoicesTrack due dates to ensure timely vendor paymentsCustomer AccountsCollect customer business profiles and W-9sRequest NTTCs when applicableSet up new customer accounts and "ship to" locations in FusionUpdate customer account information as neededUpload customer documents into accounting folders or documentation systemsAccounts Receivable Support (as needed)Assist with preparing and sending customer invoicesUpload invoices to customer portalsFollow up on missing PO numbers or required documentsOrganize and prepare customer payment documentationCompany Credit Card AdministrationManage card authorizations and track usage onlineCollect team member credit card receiptsMatch receipts to monthly credit card statementsSupport month-end reconciliation by organizing backup documentationGeneral Accounting SupportDaily data entry across accounting functionsMaintain organized digital and physical filing systemsAssist with bank depositsSupport month-end close by preparing schedules and gathering documentsRun basic accounting reports from Fusion for supervisor reviewAssist with internal and external audits by providing documentationFleet VehiclesMaintain accurate fleet registration status, emissions compliance, and recallsTrack and update fleet-related dataRequest fuel cardsProvide Director of Service vehicle reports at end of yearPurchasing & Inventory Support (optional/as needed)Track open purchase ordersAssist purchasing with receiving documentationSupport inventory counts by preparing count sheets or entering resultsAdministrative SupportAssist team members with credit card or accounting documentation questionsSupport front office activities (phones, scanning, mail) as neededHelp maintain and update internal financial proceduresEnd-of-Year TasksCreate new-year labels and foldersPack up current-year folders into storage boxesMove current-year payables to back filing cabinetsQualificationsExperience in accounting support, administrative roles, or AP/AR preferredStrong attention to detail, accuracy, and organizational skillsAbility to manage multiple tasks and deadlinesProficiency with computer systems; ERP experience (Fusion or similar) is a plusExcellent communication skills and ability to work independently or as part of a teamProblem-solving abilityWhy Join Us?At Advanced Communications and Electronics, Inc., you'll support a mission-driven company that enhances communication and safety for communities, schools, and public agencies across New Mexico.
