We are looking for a highly organized and proactive HR & Administration Specialist to bring order to our daily operations, spearhead our hiring efforts, and cultivate a positive workplace culture.Position Summary:This is a dynamic, hands-on "hybrid" role designed for someone who thrives in a fast-paced environment. You will be the go-to person for everything from fixing warehouse timecards and organizing messy employee files, to sourcing great candidates and managing daily office operations. If you love building processes from scratch and taking care of people, this role is for you.Core Responsibilities:1. Talent Acquisition & Structured Onboarding (Recruitment & Files) Manage the full-cycle recruitment process, especially for high-volume warehouse roles and essential office staff (posting jobs, screening resumes, interviewing, and making offers). Develop local sourcing strategies to overcome hiring challenges (e.g., local job boards, community partnerships, employee referral programs). Standardize the onboarding process to ensure all new hires complete required paperwork accurately (I-9s, W-4s, direct deposit) before their first day. Audit and organize all existing physical and digital employee personnel files to ensure 100% compliance and orderliness.2. Time, Attendance & Payroll Management (The "Gatekeeper") Act as the daily monitor for the warehouse and office time-tracking system (e.g., DingTalk). Vigilantly audit daily punches, track missed clock-ins/outs, and correct timecard errors in real-time. Partner directly with Warehouse Supervisors to validate daily attendance, tardiness, and overtime. Consolidate and verify all time data meticulously before strict weekly/bi-weekly payroll cutoffs to eliminate paycheck errors.3. Office Administration & Culture (Admin & Employee Engagement) Manage day-to-day office operations, including ordering office supplies, warehouse breakroom snacks, and maintaining vendor relationships. Coordinate standardized employee welfare programs, such as organizing holiday gifts, birthday celebrations, and seasonal company events. Act as the welcoming face of the company, assisting with basic administrative support, mail distribution, and visitor reception.4. General HR Support & Compliance Serve as the primary point of contact for employees regarding benefits enrollment, PTO requests, and general HR policy questions. Assist management in enforcing company policies, safety guidelines, and workplace code of conduct. Maintain strict confidentiality and data protection standards at all times.Minimum Qualifications: Associate’s or Bachelor’s degree in HR, Business Administration, or a related field (or equivalent practical experience). 2+ years of combined experience in Human Resources, Recruitment, and Office Administration, preferably in a warehouse, manufacturing, or logistics setting. Demonstrated experience handling hourly workforce time-tracking and payroll preparation. Scrappy and resourceful recruiter—you know how to find candidates when the market is tough. Highly organized with a "zero-defect" mentality when it comes to paperwork and data entry. Proficient in Microsoft Office (Excel, Word) and HRIS/Timekeeping apps.
