Client Service Representative
Job Summary
We are seeking a highly organized and client-focused Client Service Representative to join our financial services team. The ideal candidate will serve as a crucial point of contact for clients, providing exceptional customer service while assisting with various administrative tasks. This role involves answering client inquiries, processing transactions, managing client information, and supporting internal operations to ensure efficient day-to-day functioning.
Key Responsibilities:
Client Interaction:
Answer incoming client phone calls, addressing inquiries and providing information in a professional and courteous manner.
Schedule appointments for financial advisors and maintain an organized calendar.
Mail and Transaction Processing:
Process incoming mail, checks, and client money requests in a timely and accurate manner.
Handle administrative tasks related to client requests, such as address or email changes.
CRM Management:
Maintain and update client information in the CRM system to ensure accuracy and compliance with company policies.
Monthly Client Communications:
Prepare and coordinate monthly mailings, including account updates and promotional materials for clients.
Office Support:
Monitor and order office supplies to ensure the office is adequately stocked at all times.
Assist in organizing and preparing emails and invitations for client events, webinars, and other communication initiatives.
New Account Setup:
Facilitate the opening of new client accounts, ensuring all required documentation is collected and processed efficiently.
Client Event Coordination:
Support the planning and execution of client events, webinars, and meetings by managing email communications and client outreach.
Required Skills and Qualifications:
Excellent verbal and written communication skills.
Strong organizational skills with attention to detail.
Ability to manage multiple tasks efficiently in a fast-paced environment.
Proficiency in using CRM systems and Microsoft Office Suite (Word, Excel, Outlook).
Experience in financial services is preferred but not required.
High degree of professionalism and customer service orientation.
Ability to work independently and as part of a team.
Education and Experience:
High school diploma or equivalent; Bachelor's degree in Business, Finance, or a related field is preferred.
1-2 years of experience in a client-facing or administrative role, preferably in financial services.
Job Type: Full-time
Pay: $19.00 - $24.00 per hour
Expected hours: 40 per week
