Volunteer & Events Coordinator (San Francisco)

Position Title: Volunteer & Events CoordinatorReports To: Director of Development & MarketingSchedule: 32–40 hours per week (some evenings and weekends required for events)Location: In Person at office in San Martin, CAPosition Summary:The Volunteer & Events Coordinator supports Operation Freedom Paws' mission of "saving lives at both ends of the leash" by managing a strong, engaged volunteer program and coordinating impactful fundraising and community events. This role ensures volunteers are effectively recruited, trained, and supported while also assisting in the planning and execution of events that drive revenue, awareness, and community connection.Key Responsibilities:Volunteer ManagementLead volunteer recruitment efforts to grow and sustain a strong, mission-aligned volunteer baseManage the full volunteer lifecycle, including applications, screening, onboarding, and placementAssign and schedule volunteers for events, programs, and ongoing organizational needsCoordinate and lead volunteer orientations and provide ongoing training and supportServe as the primary point of contact for all volunteer communicationsDevelop and maintain consistent communication with volunteers through regular emails, updates, and newslettersSteward volunteers through ongoing engagement, recognition, and relationship-building to support retentionMaintain accurate records of volunteer hours, participation, and engagementCoordinate and support all volunteer programs, including:Corporate volunteer groups (on-site service days and team-building experiences)Gardening club supporting facility upkeepYouth Board engagement and activitiesIdentify and fill volunteer needs across programs, events, and facility supportEnsure a positive, mission-driven volunteer experience that encourages long-term involvementTrack and report on volunteer metrics, including recruitment, engagement, retention, and participation across events and programsEvent CoordinationSupport planning and execution of all OFP fundraising and community events, including the golf tournament, wine gala, and smaller community eventsConduct venue research and assist with vendor coordination as neededLead solicitation and tracking of in-kind donations, including auction and raffle itemsAssist with event logistics, timelines, and administrative coordinationCoordinate décor, setup, and breakdown for eventsManage attendee registration, tracking, and overall guest experienceProvide on-site event management support to ensure smooth and successful executionGeneral ResponsibilitiesWork closely with the Director of Development & Marketing to support fundraising goals and event strategyCollaborate with staff, volunteers, and community partners to enhance program and event successProvide additional administrative support as needed, including data entry, reporting, and general coordination tasksRepresent Operation Freedom Paws in a professional and mission-driven manner at events and volunteer activitiesAssist with additional administrative tasks as neededRequirements & Qualifications:2–4 years of experience in volunteer coordination, event planning, nonprofit work, or a related field preferredStrong organizational and project management skills with the ability to manage multiple priorities and deadlinesExcellent written and verbal communication skillsAbility to work both independently and collaboratively in a small team environmentExperience coordinating events, including logistics, vendors, and on-site executionComfortable engaging with volunteers, donors, corporate partners, and community membersDetail-oriented with strong administrative and follow-through skillsProficiency in Microsoft Office and Google Workspace; experience with CRM or donor databases (such as Little Green Light, GiveSmart, or similar) preferredAbility to lift and carry event materials and assist with event setup and breakdownWillingness to work occasional evenings and weekends for events and volunteer activitiesPassion for the mission of Operation Freedom Paws and commitment to supporting veterans, first responders, and individuals with disabilities
