Primary Objectives of Position:
The Compliance Coordinator ensures DCi vendors are properly onboarded, compliant, and ready for payment by maintaining accurate documentation, monitoring compliance status in Microsoft Dynamics, and supporting contract and insurance requirements. Additionally they assist with organizing, filing, and tracking of Client Compliance. This role partners with internal teams and vendors to reduce risk, maintain system accuracy, and support smooth operations across all regions.
Major Areas of Accountability:
Vendor Compliance & Readiness
Manage vendor compliance requirements across all regions, ensuring vendors are properly onboarded, compliant with DCi standards, and cleared for payment.
Proactively monitor vendor compliance status within Microsoft Dynamics and address gaps, expirations, or discrepancies.
Maintain compliance for preferred vendors, including staffing and transportation partners, to support consistent coverage in core destinations.
Documentation, Contracts & Insurance
Maintain organized, audit-ready vendor records, including contracts, certificates of insurance (COIs), tax documentation, and compliance notes.
Review vendor and venue agreements for modified or non-standard terms and collaborate with the Compliance & Systems Director on approvals and risk considerations.
Coordinate COI requests through DCi's insurance provider and ensure insurance limits and documentation are accurately tracked and updated.
Systems & Vendor Data Management
Create, maintain, and update vendor records in Microsoft Dynamics and Business Central, ensuring accurate address, tax, and compliance data.
Identify and resolve duplicate vendor records and ensure vendor data integrity across systems.
Support Accounts Payable readiness and 1099 reporting through accurate vendor setup and ongoing maintenance.
Cross-Functional Collaboration & Support
Partner with teams across Operations, Finance, and regional offices to align vendor compliance and data management with company processes.
Serve as a resource for vendor compliance inquiries and support internal stakeholders with reporting and documentation needs.
Client Compliance Support
Assist with filing, organizing, and labeling client contracts during and after the negotiations
Ensure client files and account notes are up to date with negotiated terms
Assist with creating contract templates for negotiated terms
Save negotiation emails in Account Timelines for easy reference
Knowledge and Skills Required
Associate's or Bachelor's degree in Business, Operations, or related field (or equivalent experience).
13 years of experience in vendor compliance, operations, accounting support, or administrative coordination.
High attention to detail and excellent organizational skills.
Clear, professional communication skills (written and verbal).
Proficiency in Microsoft Office; experience with Microsoft Dynamics and/or Business Central strongly preferred.
