Procurement Coordinator
The Procurement Coordinator plays a critical role in delivering homes of distinction by ensuring the seamless coordination of materials from vendor to job site. This position bridges design vision and construction execution—overseeing purchasing, cultivating strong vendor partnerships, and managing logistics with intention and precision.This role is essential in maintaining project flow, minimizing disruptions, and upholding the level of quality and detail that defines our work. Working alongside designers, project managers, and trade partners, you will contribute to a cohesive, well-executed project experience from start to finish.We are looking for a proactive, detail-driven individual who thrives in a fast-paced environment, takes ownership, and is committed to excellence in every aspect of their work.Key ResponsibilitiesProcurementCreate and manage purchase orders in project management systemsCoordinate with vendors on pricing, availability, and order detailsTrack lead times, order status, and required approvalsProcess and order approved Owner-Selected Items (OSI)Identify and resolve delays, substitutions, and backordersEnsure purchasing aligns with project budgets and schedulesTrack material payments and coordinate with AccountingLogisticsTrack all orders from placement through deliverySchedule and confirm deliveries with the Production Team (PMs, Site Managers, Superintendents)Ensure job site readiness for deliveries (access, storage, protection)Coordinate delivery of large or critical items (e.g., windows, appliances, millwork)Verify delivered materials for accuracy and conditionManage returns, replacements, and warranty claimsCoordinationServe as the primary point of contact between vendors, Design, and ProductionProvide regular updates on order status and delivery schedulesProactively communicate risks, delays, and cost impactsCoordinate with the Design Team to ensure selections are ready for procurementSupport project closeout by organizing warranties and material documentationSystems & ProcessMaintain accurate and up-to-date records in project management systemsTrack procurement timelines and monitor long lead itemsIdentify gaps and support improvements to procurement and logistics processesAssist in developing and maintaining standard operating procedures (SOPs)Qualifications2–4 years in procurement, logistics, or construction coordinationResidential design-build experience preferredStrong organizational, communication, and problem-solving skillsAbility to manage multiple projects simultaneouslySoftwareProject management software, Microsoft Suite, Bluebeam and/or ExcelSuccess Metrics (KPIs)On-Time Procurement: Materials ordered in alignment with project schedulesDelivery Accuracy: Minimal errors, damages, or missing itemsLead Time Management: Long-lead items identified and tracked earlyPO Accuracy: Clean, complete, and timely purchase ordersIssue Resolution: Delays and substitutions resolved proactivelyCross-Team Coordination: Clear communication with Design and ProductionPhysical RequirementsCapable of lifting and carrying up to 50 lbsComfortable navigating job sites (stairs, ladders, uneven terrain)Why This Role Matters at TimelineDirect impact on project efficiency, cost control, and schedule successServes as a critical bridge between Design and ProductionOpportunity to help shape and improve procurement systems as the company growsJ-18808-Ljbffr
