🗂️ Executive Administrative AssistantDepartment: OperationsReports To: CEOLocation: West Bloomfield MI (Onsite)Hours: Full-time🧠 About the RoleWe are seeking a highly organized and proactive Executive Administrative Assistant to support executive leadership and operations. This role is critical to keeping day-to-day executive functions running smoothly and efficiently. The ideal candidate is detail-oriented, trustworthy, adaptable, and thrives in a fast-paced environment while maintaining strict confidentiality.✅ Key ResponsibilitiesManage and coordinate executive calendars, meetings, and daily errands (including meals and personal tasks as needed)Handle all travel arrangements from start to finish, including flights, hotels, transportation, itineraries, and last-minute changes with executive pre-approvalCoordinate events and travel for off-site locationsAssist with training setup related to operationsPrepare meeting agendas and capture detailed, accurate meeting notes documenting decisions and action itemsSupport facility operations in coordination with management, including meeting setup, supplies, maintenance, and event coordinationMaintain strict confidentiality across all business operations, including secure handling of credentials and sensitive informationUpdate and maintain company phone and email directoriesPurchase and manage office and operational supplies; submit expense details for accounting approvalEnsure office equipment is fully functional and coordinate timely repairs when neededPrepare and deliver daily executive summary reports to the CEOs, ensuring clear communication of priorities and updatesServe as a liaison across departments and entities, working closely with the Lead Executive Assistant to ensure consistency and accuracyPerform additional duties as assigned🎯 Qualifications & SkillsStrong attention to detail, organization, and follow-upProficiency in Microsoft Word and ExcelExperience with travel planning, airfare and hotel research, and cost-conscious bookingComfortable using travel and scheduling applications (iPhone preferred)Excellent written and verbal communication skillsAbility to escalate issues appropriately and maintain alignment across teamsProven ability to interact effectively with executives, directors, and staff at all levels🎓 Education & ExperienceHigh school diploma required; some college preferredMinimum of five (5) years of related administrative or executive support experience, or an equivalent combination of education and experienceDemonstrated experience in problem resolution and executive-level support✈️ Additional RequirementsTravel as requiredAbility to maintain professionalism, discretion, and confidentiality at all timesPowered by JazzHRAN5hR5ClQD
