This Project Administrative Assistant role is based out of the organization’s headquarters in St. Cloud, MN and plays a critical part in supporting Project Managers and operations teams.This position is ideal for a highly organized, detail-driven administrative professional who is comfortable supporting fast-paced, documentation-heavy projects and adapting to urgent or emergent work. The role offers long-term growth opportunities as project complexity and operational responsibilities expand.Job DescriptionThe Project Administrative Assistant supports Project Manager(s) while independently managing assigned administrative and operational aspects of active projects. The role requires prioritizing work, maintaining accurate project documentation, coordinating logistics, tracking labor and expenses, and communicating professionally with internal teams, vendors, and field personnel. This position ensures projects remain organized, compliant, and operationally supported from setup through closeout, including outage and emergent work periods.Key Responsibilities IncludeMaintaining organized electronic filing systems for all project-related documentation, including JPRs, lessons learned, surveys, site notes, photos, as-builts, and testing recordsPerforming high-volume data entry and document control for project and field operations, including crew hours, foreman totes, and job foldersPreparing, editing, and managing fillable PDFs and project forms using Adobe Acrobat (JSAs, safety reports, daily and weekly reports, credit card authorizations, etc.)Tracking field crew hours and expenses, verifying approval and accuracy, and escalating discrepancies as neededCoordinating and scheduling travel logistics such as flights, hotels, rental vehicles, and shuttles within established parametersSupporting outage preparation and project closeout activities, including job setup, documentation filing, and lessons learnedScheduling and coordinating meetings such as daily huddles, project kickoffs, closeouts, job awards, site visits, and project management meetingsCommunicating professionally with internal teams, vendors, and field personnel to gather information, resolve routine issues, and support project progressPreparing reports, spreadsheets, and presentations, including lessons learned and project summariesParticipating in daily huddles and project management meetings as requiredRemaining responsive during emergent or outage-driven projects, including intermittent availability outside standard business hoursQualificationsRequiredMinimum 3–5 years of experience in an administrative or office-based roleExperience supporting projects in construction, industrial, or operations-focused environmentsHigh school diploma or equivalentStrong attention to detail and ability to manage multiple priorities in a fast-paced environmentIntermediate proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams)Working knowledge of Excel, including basic formulas and data handlingIntermediate proficiency with Adobe Acrobat, including fillable forms and document controlAbility to perform high-volume, deadline-driven data entry accuratelyStrong written and verbal communication skills with a professional demeanorProven ability to prioritize work, meet deadlines, and stay focused under pressureSelf-starter with the ability to work independently and as part of a teamValid driver’s license and ability to operate company or rental vehiclesAbility to pass a background check for field access, drug screen (including THC), and non-DOT physicalAbility to sit or stand for extended periods, work on a computer for prolonged durations, and occasionally lift up to 50 lbs (over 50 lbs with assistance)PreferredAssociate’s degreeExperience supporting project managers or operations-heavy teamsExperience coordinating logistics, travel, or outage-related schedulesExperience using Frosch, travel tool Experience tracking timekeeping, payroll-adjacent functions, or field expensesExperience creating presentations and compiling lessons learned or project closeout materialsExperience supporting process improvement or quality initiatives (e.g., ISO environments)Comfort working in regulated or safety-sensitive environmentsAdaptability to change, urgency, and evolving processesBenefitsThis company offers competitive pay based on experience and certifications, along with comprehensive health, dental, and vision insurance.
