Administrative Assistant

Role, Function & Organization  The Administrative Assistant provides customer service and administrative support to the company through a variety of tasks such as meeting coordination, maintaining records, assisting field personnel, and phone coverage. This role is essential in supporting different processes and managers within the branch to reach and exceed company goals. This role works collaboratively with office personnel and contributes to overall organizational success through strong service, communication, and follow-through.At PPC Partners we believe in the Power to Serve along with the Pursuit of Excellence.  As such the following values guide our behaviors: A Servant's Heart -- Focus on the Needs of Others, Wisdom -- Insightful, Integrity -- Honesty and Trustworthy, Courage -- Decisive and Confident in Others, Humility -- Modest and Respectful, Passion -- Unfailing Dedication Essential Duties And ResponsibilitiesAdministrative & Operational Support:Answer incoming calls; route calls and messages to the correct department or individualHandle incoming mail; Manage outgoing mail and packagesMaintain inventory and order various office supplies as neededPerform copying, scanning, and filing of documents as neededAssist with creating, processing, and mailing invoices and billing statements in coordination with project teamsOpen work authorizations and assist with internal requisition entriesSupport organization of meetings, branch events, safety meetings, and company functionsCustomer & Team CollaborationFacilitate communication between office staff, Project Managers, field employees, vendors, and customersDevelop and maintain relationships with customers; ensure high quality service is providedWork collaboratively across departments to support smooth daily operations and special projectsEmployee & Company DevelopmentMaintain personal and professional development planPromote a positive, solution-oriented work environment by communicating clearly, sharing ideas, and contributing to process improvementsSupport employee engagement effortsSafety/Hazard Recognition & Elimination: Pre-plan and identify the methods to eliminate hazards daily by work task. Execute skill in observing habits and hazards of others and bringing it to their attention. Uphold safety as the most important goal of our company.  Support goal of achieving zero accidents. Promote and encourage open communication between field and office regarding all safety concerns, suggestions, improvements, and PPE needed. Obtain safety training as expected by all company personnel. Qualifications And RequirementsHigh School Diploma (or equivalent) requiredHigher education preferredPrior customer service experience in an office environment requiredExperience, Skill And AbilitiesPositive safety attitude and personal integrity -- both are non-negotiableProficiency with Microsoft Office Suite (including Excel, Word, Outlook, and Teams)Excellent customer service orientationStrong communication skills, both verbal and writtenStrong interpersonal skills; ability to interact with all levels of the company and customersAbility to see details and recognize errors, working within precise standards of accuracyPhysical RequirementsOffice environment, requiring sitting and standing and extended amounts of time using a computer/keyboard at a single workstation.
