Job Title: Executive AdministratorClassification: ExemptSalary: $65,000 - $70,000Position SummaryThis position provides executive support and development division support services to the Managing Partner, Industrial and the Industrial team. This position will work independently and under pressure to handle varied situations and activities while safeguarding confidential matters with discretion. Essential FunctionsAct as the point of contact between the executive and internal/external clientsAnswer calls for the executive and division, take and distribute messages to appropriate personnel, respond to inquiries from clients, vendors, and personnel withinthe scope of expertiseIn the executives' absence, if unable to assist directly, route problems and/or questions to the appropriate person, follow up, and reportProfessionally interact with executives and key managers of companies engaged in business with the organizatio,n such as clients, suppliers, and partnersAssist in coordinating meeting logistics: room set-up to accommodate the group, arrange refreshments or meals, and room tear-downComplete tasks including managing an active calendar of appointments, completing expense reports, and arranging complex travel arrangements (domestic and international)Produce brochures, proposals, handouts, letters, and presentations Update listings and create email blasts for distributionAssist with ground breaking ceremonies, including ordering signage for projectsObtain executives’ and business partners’ signatures on project documentsMaintain an efficient documentation and filing system that includes both electronic and physical file copies in an orderly and retrievable fashionOther Functions:Sort and distribute incoming and outgoing mailPrepare FedEx packages and track deliveriesResearch, collect information, and report findings on special projects as requestedRecord meeting minutesPerform administrative duties for other areas of the company as neededAssist with receptionist dutiesOther duties as assignedCompetencies:Detail orientedHigh Degree of IntegrityInterpersonal skillsOrganizational SkillsAbility to Multitask Excellent communication skillsTime ManagementTravel LogisticsAbility to be entrusted with confidential informationAbility to work independently Technical Skills:Proficient in MS Outlook, Word, Excel, Adobe Acrobat and other computer programs as necessaryOperate office equipment such as copiers, personal computers, fax machines Required Knowledge, Skills, Abilities:Bachelor’s degree or minimum 3 years administrative assistance supporting an executive and department teamNC Notary Public (or willing to obtain at company expense)Prior Commercial Real Estate experience (preferred)Position Type / Expected Hours of WorkThis is a full-time, exempt position with normal working hours Monday through Friday, working 40 hours per week. However, as business needs become necessary, after-hours, holidays, or weekends may be required.TravelMinimal travel is required for this position.Supervisory ResponsibilitiesNo supervisory duties for this position.Work EnvironmentThis position operates in a professional office environment.
