Role SummaryThe Project Coordinator I provides essential administrative and operational support for a high-volume utility distribution program. This role plays a key part in ensuring accurate documentation, timely invoicing, and seamless coordination across project stakeholders.In this role, you will manage project paperwork, verify billing accuracy, and support compliance efforts to maintain financial integrity and operational efficiency. You will collaborate closely with project managers, field teams, and client representatives to ensure projects remain organized, compliant, and on track.Key ResponsibilitiesPrepare, review, and maintain project documentation, including work orders, permits, and compliance formsVerify invoicing accuracy against project budgets and approved work ordersAssist in resolving billing discrepancies and coordinating approvalsServe as a liaison between project managers, field teams, and external stakeholdersMaintain project trackers and databases for distribution work activitiesGenerate reports on invoicing status, outstanding documentation, and compliance metricsEnsure all processes adhere to contractual requirements and internal policiesSupport audits and internal reviews by organizing and providing accurate documentationKey Requirements2+ years of experience in project coordination, administrative support, or billing/invoicing rolesAssociate degree in business administration, project management, or a related field (or equivalent experience)Experience supporting utility, infrastructure, or construction projects preferredProficiency in Microsoft Office Suite and project tracking or management toolsStrong understanding of invoicing processes, documentation standards, and compliance trackingHigh attention to detail with strong organizational and time management skillsEffective communication skills with the ability to collaborate across teamsProblem-solving mindset with the ability to manage multiple priorities in a fast-paced environment
