Office Assistant
The Clerical Assistant will provide general administrative support in a professional office environment, with a focus on clerical and case-processing tasks. This role involves frequent interaction with the public, coordination of office visitors, and various duties to support the operational efficiency of the Pittsburgh office of the Bureau of Hearings and Appeals.Key Responsibilities:Greet and coordinate visitors to the officeAnswer incoming phone calls, transfer calls, and take messages as neededOpen, sort, and process incoming and outgoing mailScan hard-copy documents and assist with file organizationPerform basic case processing workDispatch closed files via UPS on Tuesdays and ThursdaysEnter and verify data accurately (minimum 30 WPM typing speed)File and retrieve materials alphabetically, numerically, or chronologicallyProvide basic information to the public and co-workers in a professional mannerOperate standard office equipment (e.g., computer, scanner, copier, postage meter, etc.)Maintain confidentiality and demonstrate discretion at all timesQualifications:Minimum of 1 year of experience in an office or clerical settingBasic proficiency in Microsoft Office Suite, including Outlook, Word, ExcelAbility to follow detailed written and oral instructionsStrong knowledge of standard English vocabulary, grammar, punctuation, and spellingReliable, professional, and able to handle repetitive tasks with accuracyAdditional Requirements:Must report to and perform tasks assigned by the designated supervisorMay be required to participate in training provided by the agencyConfidentiality must be maintained regarding all Bureau-related informationFor assignments over eight weeks, time off must be requested with 24 hours' notice and approved by a supervisor
