This role focuses on gathering, verifying, and maintaining critical project information, helping reduce delays, rework, and compliance issues.Working within established guidelines and procedures, this position partners with internal teams and external agencies to ensure all required documentation, jurisdictional requirements, and permitting considerations are clearly identified prior to project start.Key ResponsibilitiesLand Records & Title ResearchReview deeds, title commitments, plats, and related documents to verify legal descriptions and property informationIdentify and document easements (utility, drainage, aerial, electric, etc.) and other recorded restrictionsCompare multiple sources (title, plats, prior surveys, municipal records) to ensure consistency and completenessFlag discrepancies or missing information and escalate to appropriate internal teams for reviewMunicipal Coordination & Compliance SupportCommunicate with municipal agencies, permitting offices, and jurisdictional contacts to obtain required informationGather and document local requirements related to residential surveying, permitting, and construction standardsTrack permitting prerequisites, submission requirements, and approval timelinesMaintain accurate records of municipal contacts, requirements, and communicationsRegulatory Research & DocumentationResearch and compile municipal and jurisdictional requirements for new and existing marketsUpdate internal systems and documentation to reflect current standards, including setbacks, easements, and permitting guidelinesMonitor publicly available sources for updates to local regulations and notify internal teams of changesOrganize and maintain a centralized repository of jurisdictional informationCross-Functional SupportProvide project-related documentation and research findings to surveying, drafting, and operations teamsRespond to internal requests for information related to municipal requirements and land recordsSupport project setup by ensuring all required research is completed and documentedProcess & Data ManagementFollow established workflows and procedures for research and coordination tasksMaintain organized, accurate, and up-to-date records across systemsIdentify data gaps or process issues and communicate them to leadershipAssist with process improvements and standardization efforts as directedRequirementsEducation & Experience* Bachelor's degree in Business, Geography, Urban Planning, Construction Management, or related field preferred* 1-3 years of experience in administrative support, land records research, permitting, surveying support, or similar role preferredKnowledge & SkillsBasic understanding of deeds, plats, and legal descriptions preferredFamiliarity with municipal processes or permitting is a plusStrong attention to detail and organizational skillsAbility to follow processes and manage multiple tasks in a deadline-driven environmentEffective written and verbal communication skillsProficiency in Microsoft Office and data tracking systemsSupervisory Responsibility* NoneBenefits:401(k)401(k) matchingDental insuranceEmployee assistance programHealth insuranceHealth savings accountLife insurancePaid time offReferral programTuition reimbursementVision insurance
