This office has a close-knit, team-oriented environment, offering a “family feel” culture with a business casual dress code (jeans may be acceptable). This is a great opportunity for someone who enjoys coordinating schedules, keeping operations running smoothly, and working closely with field technicians.Key ResponsibilitiesCoordinate and schedule service appointments based on customer needs and technician availabilityDispatch technicians to job sites and adjust schedules as needed to keep work progressing efficientlyCommunicate with technicians via phone, text, and scheduling systems throughout the dayCreate and manage purchase orders (POs) for job-related materials, rentals, and equipmentTrack orders, ensure timely delivery, and monitor associated costsGenerate and maintain work orders, including time and materials trackingAudit work orders to ensure accurate labor hours and materials are recordedUtilize ERP system to manage scheduling, POs, and job trackingQualificationsRequired:1–2+ years of administrative experience supporting a team or multiple departmentsExperience working within an ERP systemStrong organizational and time management skillsProficiency in Microsoft Office 365, especially ExcelAbility to multitask and communicate effectively in a fast-paced environmentPreferredPrevious experience in dispatching or service coordinationBackground in HVAC, mechanical, or service-based industriesAssociate degree or relevant courseworkAdministrative Assistant / Dispatcher Administrative Assistant / Dispatcher Administrative Assistant / Dispatcher Administrative Assistant / Dispatcher Administrative Assistant / Dispatcher Administrative Assistant / Dispatcher Administrative Assistant / Dispatcher
