MAJOR DUTIES AND RESPONSIBILITIES Managing Extracurricular EventsOversee supervision of extracurricular events and activities and/or ensure proper event supervision and managementPrepare and distribute an activity and special events calendarPrepare programs for all appropriate extracurricular eventsArrange for team and club pictures for league, district, and state tournamentsArrange with the building principal for the cancellation or postponement of home events due to adverse weather conditionsSupervise awards and banquets and support coaches in the coordination of those eventsArrange field and gym practice schedules, and schedule all athletic events for high school.Arrange field and gym schedules for community facilities-use in conjunction with principals.Assume responsibility for providing officials, ticket takers, and other personnel necessary for all home games and other extracurricular activitiesArrange all details of visiting teams' and officials' needs, including lodging, meals, towels, gymnasium services, security, and field assistance, as appropriateEnsure preparation of facilities for athletic events such as setting up score tables, bleachers, ticket taker tables, and locker roomsEnsure facility clean-up such as in the high school gym, locker rooms, hospitality rooms, and outdoor fields and facilitiesArrange transportation and housing for all extracurricular events, and communicate with the transportation supervisor regarding busing needs for off-campus eventsSchedule all departure times for athletic events after meeting with administrators, coaches, and club advisorsBe responsible for compliance with Board-adopted emergency medical procedures for all practice sessions and competitive eventsSupervisory DutiesAssist in screening and hiring of all athletic personnelConduct a coaches clinic each year to communicate federal and state law, administrative rules, Board policy, and IHSAA rulesWork as a liaison between the administration and the extracurricular activities staffSupervise and evaluate coaches, observing them sufficiently to make recommendations to the Building Principal regarding coaching assignments and recommendations for end of season rehire.Ensure sponsors for school clubs and organizations and instruct them on policy and procedures.Develop and implement appropriate rules governing the conduct of athletic activitiesBe responsible for administering all interscholastic policies and procedures in accordance with the rules of the Idaho High School Activities Association (IHSAA)Interpret Board policy to the extent necessary to provide guidance the athletic programResolve any conflicts within the athletic department or among extracurricular activitiesProvide formal written evaluation of all coaching positions in collaboration with Building PrincipalRecords & FinancesMonitor each student's eligibility to participate in athletic activities according to IHSAA rules and relevant federal and state law, administrative rules, and Board policyEstablish physical and academic requirements for eligibility to participate in each sport, and verify each student's eligibilityObtain written parent permission for students to participate as requiredSecure IHSAA approval for transfer studentsEnsure each sport has an up to date team roster and that it is sent to all participating schoolsPrepare and administer the extracurricular program budgetProvide ongoing marketing of extracurricular activities through social media and other campaigns.Develop and/or implement a robust fundraising development plan to ensure fiscal sustainability of athletics.Supervise all ticket sales and fundraising events of the extracurricular programRequest all cash boxes needed for event gates and concessions, and secure cash boxes after events according to school proceduresMaintain records of athletic contests and a record of all award winners, stating the date and type of award, including athletic scholarshipsAdminister and coordinate membership requirements and financial activities of all school-sponsored clubsOtherArrange for any applicable physical examinations of athletesAssume responsibility for the purchase and dissemination of all first aid and other medical supplies used in athletic programsAssume responsibility for public relations with the community including newspaper and radio coverage of athletic eventsRepresent the school in all conference and state extracurricular meetingsSupervise the care, maintenance, and storage of all athletic equipment and supplies Coordinate with coaches and the principal to determine uniform and equipment needs, ordering when necessary Require coaches to check in uniforms and equipment at the end of each sport season, keeping an accurate inventoryConstantly evaluate the extracurricular program and seek ways to improve itKeep the building principal informed of activities and any issues that may ariseAssume responsibility for his or her continuing professional growth and development through such efforts as attendance at professional meetings, and by reading professional publicationsAdhere to The Code of Ethics of the Idaho Teaching Profession
