The Fireweed Business Center reflects our heritage in the displayed Alaska Native art and interior design.Benefits include: paid holidays, paid time off, 401K with employer match, dental, vision, health insurance plans through the Federal Employee Health Benefits (FEHB) program, as well as life and disability benefits.CIRI only accepts applications through our online career page at https://www.ciri.com/careers/jobs/General FunctionIn alignment with CIRI’s mission and values, supervises Shareholder reception and Descendant registration functions, including proper maintenance of records and oversight of communications between the Shareholder Relations Department and Shareholders, Descendants, and various agencies.Major Activities (Typical Duties/Responsibilities) Supervise Shareholder communications team: Oversee day-to-day workflow. Draft and update templates and processes. Manage/facilitate performance and annual employee appraisals, employee development, team building, training, and goal setting. Ensure accurate, appropriate and reliable communications between staff and Shareholders and Descendants, including: Coverage for phones and walk-in traffic and prompt responses to written inquiries. Monitor interactions and assist with questions or interactions that require additional authorization or intervention. Keep Manager, Shareholder Relations and Director, Shareholder Services apprised of areas of concern and escalating inquiries. Manage CIRI’s Descendant Registration Program: Oversee eligibility determinations. Audit database records. Review mass communications. Ensure accurate lists are generated for communications. Coordinate, order, and issue Shareholder and Descendant identification cards and Elder and youth birthday cards. Administer quarterly participation prize drawings and Facebook trivia contest: Identify, purchase prizes, or distribute cash prize winnings. Oversee the selection of winners. Review associated communications and expand outreach to increase response level. Monitor and audit undeliverable mail and address changes; ensure appropriate steps to locate “lost” Shareholders such as: Outsource locates to private investigator when appropriate. Review missing Shareholder recaps. Make timely recommendations for declarations of abandonment. Participate in CIRI Shareholder-related events and ensure sufficient staffing and forms are available. Maintain notary certification and assist Shareholders and Descendants in completion of departmental forms. Track and provide statistics for calls and other forms of communications. Identify and present Shareholder communication topics based on Shareholder and Descendant questions received. Provide assistance to Shareholder Payables Technician and Manager, Shareholder Relations, as needed. Perform other duties as appropriate and as assigned.Skills/Abilities Understand CIRI’s mission, vision and strategic focus areas and incorporate knowledge into daily activities. Excellent leadership, supervisory and management skills. Strong customer service skills. Proficient using basic 10 key and industry-standard computer software and databases, including Microsoft Office products such as Word and Excel, with strong data entry skills. Excellent oral and written communication skills, including telephone etiquette, thorough knowledge of proper grammar, advanced vocabulary, spelling, editing, and proofreading skills. Superior time management and organizational skills, capable of prioritizing and managing multiple projects with emphasis on accuracy and attention to detail. Ability to maintain accurate records and to prepare and submit comprehensive reports. Strong research, analytical and decision-making skills, exercising excellent judgment and creative and innovative thought in problem solving. Excellent interpersonal skills; ability to work effectively and cooperatively with all levels of management and staff, both internal and external to the company. Exhibits a professional manner when dealing with others, maintaining poise in high-pressure situations, and displaying empathy with respect to Shareholders’ needs. Emphasis on conflict resolution skills. Excellent understanding of subject areas typically raised by Shareholders, including working knowledge of ANCSA and the ANCSA Amendments and familiarity with relevant Alaska Statutes. General understanding of accounting procedures preferred. Work independently, as well as on a team and with minimal supervision. High degree of sensitivity regarding confidential information.Physical Abilities Sufficient fine motor skills for use of computers, calculators with an ability to withstand repetitive keyboarding for extended periods of time. Verbal and communication ability sufficient to perform the essential functions of the job. Ability to kneel, bend and twist at the waist on an occasional basis. Ability to reach below shoulder height with regular frequency (desk position) and at or above shoulder height on occasion. Ability to push, pull, carry, and lift objects weighing up to 20 pounds on a regular basis, and greater weights on an occasional basis. Ability to travel by vehicle or plane several times a year.Minimum Qualifications High school diploma or GED; Associate’s degree with accounting classes preferred. Minimum four years progressively responsible administrative experience in an office setting demonstrating high level of accuracy, data-entry, records management, attention to detail, customer service and communications. Ability to travel to Shareholder events that may require overnight stays and weekend work several times a year. Supervisory experience preferred. Ability to obtain and maintain notary certification required.
