Job Title: Office Assistant for Senior Apartment Community
Job Summary:
We seek a long-term, detail-oriented, organized Office Assistant to join our team. The ideal candidate will provide administrative support, assist in office management tasks, and ensure efficient operation within the office environment. The Office Assistant will be working under the supervision of the Office Manager. This position assists with the administrative responsibilities of renting and marketing the apartments of the tenant data and accounting system. The position requires a thorough knowledge of all administrative procedures including owner/manager policies, Rural Development regulations, and state and federal laws for leasing and marketing housing units. The Office Assistant must be able to fill in for the Office Administrator during absences due to vacations, illness, etc.
The Office Assistant's responsibilities include but are not limited to the following duties:
- Phone etiquette.
- Collect rent and prepare receipts.
- Maintain neatness of the rental office.
- Maintain office files and records.
- Prepare and maintain tenant files with complete confidentiality.
- Prepare letters, memos, and reports.
- Receive applicants by phone and in person.
- Screen applicants.
- Schedule vacant units for occupancy.
- Prepare tenant recertification packets.
- Maintain rental assistance log.
- Maintain tracking log.
- Maintain a waiting list.
- Assist in the certification and recertification of tenants.
- Data entry
- Monthly reporting income and expenses.
Qualifications:
- Proven experience in office management or related administrative roles
- Proficiency in data entry and order processing
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Familiarity with computerized systems for office tasks
- Ability to work independently and collaboratively in a team environment
This position includes a 3 month probation based on evaluation of performance.
