Job Summary
We’re seeking a strong, resourceful Administrative Assistant to serve as the backbone of our office operations. You’ll be the person who keeps things running smoothly, ensures documentation and workflows are on point, and supports our operations teams with key systems like QuickBooks, Fleetio, and purchase order control.
This is not your typical admin gig. We need someone who can juggle multiple platforms, coordinate across departments, organize paperwork like a pro, and elevate the way our office functions.
What You’ll Do
Office Operations & Workflow Coordination
Manage office admin functions to keep work flowing efficiently.
Own the purchase order system from creation through approval and filing.
Monitor and respond to office requests, emails, and communications.
Maintain organized and accurate electronic and physical filing systems.
Draft, edit, and finalize internal documents, memos, and reports.
Financial & Accounting Support
Maintain and process accounts in QuickBooks.
Coordinate vendor invoices, bill payments, and expense tracking.
Reconcile accounts and assist with month-end close processes.
Support payroll documentation and timesheet coordination.
Technology Operations
Operate and maintain systems including Fleetio (asset & fleet management).
Administer additional operating systems as needed (job scheduling platforms, CRM, team communication tools, etc.).
Train team members on system use and best practices.
Troubleshoot user issues and follow up to resolution.
Communication & Coordination
Serve as a central point of contact between office staff, field crews, and vendors.
Schedule meetings, appointments, and service calendars.
Prepare correspondence and relay information internally and externally.
Support HR admin including onboarding paperwork and tracking certifications/licenses.

Required Skills & Experience
3+ years administrative experience (operations or office coordination preferred)
Strong QuickBooks experience (QuickBooks Online preferred)
Experience with Fleetio or similar fleet/asset management software
Comfortable with MS Office (Word, Excel, Outlook) and cloud-based platforms
Experience with purchase order creation and control
Ability to multitask in a dynamic environment
Reliable, with a professional demeanor
Nice-to-Haves
Landscape/field services industry experience
Experience with additional software like scheduling/ dispatch tools
CRM or project management familiarity
