Assistant to the Dean of Transportation Technology

Pay Grade: Assistant 8This position provides administrative support to the Dean, Transportation Technology & Director, Hendrick Center for Auto Excellence., To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the primary job functions herein described.Prepares adjunct faculty contracts and monthly payroll information; coordinates with HR payroll and accounting office for payroll issuesActs as liaison between Dean, faculty, and other areas of the collegeResponsible for obtaining adjunct faculty personnel information, routing for approval and signatures, and maintaining adjunct instructor filesRoutinely processes forms (travel, expenditure authorizations, etc.), and maintains an inventory of selected institutional formsMaintains Transportation Division records and reportingResponds to email and answers the phone, dispenses appropriate information, refers and screens calls when appropriateTakes initiatives to solve problems, division issues, and campus issues to assist the DeanManages acquisitions, interprets financial reports, and applies data to maintain budget balances, Knowledge, Skills, and Abilities:Intermediate skills in MS Word, Excel and PowerPointExcellent organizational skillsExcellent written and verbal communication skillsExcellent customer service and interpersonal skillsAbility to work with a high degree of accuracy in a fast-paced office environmentAbility to maintain records accurately and be able to meet deadlines consistentlyMinimum Requirements Associate degreeFive years of experience providing administrative support in an office environmentIntermediate to advanced knowledge of Microsoft Office including MS Word, Excel and Power Point. Preferences Bachelor's degreeExperience in a Community College supporting college administrationExperience with Ellucian Colleague system
