In Person Front Desk Receptionist (Part Time to Full Time)

Clarity Health + Wellness is a boutique suite of 12 therapy offices built to support both therapists and clients, and we are also a growing, lively professional community. We host events, networking gatherings, and community programming that help clinicians feel connected and supported.We are looking for an in-person Front Desk Receptionist who genuinely enjoys people, brings a calm and friendly presence, and takes pride in creating a space that feels welcoming, organized, and well cared for. You will be at the heart of the office, supporting day-to-day flow, helping clients feel comfortable, coordinating room reservations, resetting shared spaces between sessions, and handling mail and sensitive materials with discretion. HIPAA training is provided.Position Type: Part-time to Full-Time, In-Person - weekday (daytime & evening) hours, as well as weekend hours available.Hourly: $25 - Benefits: 40 hours of accrued sick leave – 1 hour for every 30 hours worked. Additional benefits to be discussed after a 4-month trial period.Location: NoMad, New York CityWhat you will doRoom Scheduling and Therapist SupportOversee and maintain all room reservations for partners and membersTrack room usage and flag patterns or notable concerns to managementConduct regular room checks to reset spaces, maintain cleanliness, and document issues or needsManage suite access systems, including pin code updates and basic troubleshootingProcess and track room reservation charges on a regular cadenceCoordinate with management on scheduling updates, space usage, and maintenance needsClient Support and ReceptionGreet clients warmly and assist with check-in, directions, and general questionsHelp clients access the suite and navigate the space comfortablySupport the client registration team with forms, payment updates, and insurance info as neededMaintain confidentiality and uphold CHW standards for privacy and professionalismAdministrative SupportReceive, sort, and distribute mail, deliveries, and faxes according to office proceduresSecurely handle and file sensitive documents with care and discretionMonitor and restock office, kitchen, and hospitality supplies, and place orders as directedUse the task management system to manage daily priorities and share progress updatesMonitor and respond to internal communications throughout the day to support coordinationFacility and Vendor CoordinationTrack and report general office and facility issues and communicate promptly for resolutionCoordinate with cleaning staff, building management, and vendors as directedMonitor appliances to ensure cleanliness, function, and presentationYou will be a great fit if you areWarm, grounded, and professional with clients and cliniciansOrganized, proactive, and comfortable juggling multiple prioritiesDiscreet and trustworthy with confidential materialsProud of creating a calm, welcoming environmentPlease hit apply if interested.
