Administrative Assistant to the Director of Student Services (Anticipated)
Position PurposeProvides comprehensive clerical, organizational, and programmatic support to the Director of Student Services. This position plays a critical role in student enrollment and registration, compliance reporting, and coordination of services across multiple student support programs.Essential Functions And ResponsibilitiesStudent Registration & EnrollmentServe as the primary point of contact for all new student registrations.Schedule and conduct registration appointments with families.Collect, review, and process required enrollment documentation.Ensure compliance with district policies and Pennsylvania enrollment regulations.Maintain accurate student records within the Student Information System.Residency & Enrollment ComplianceAssist with student residency verification processes.Collect and review residency documentation.Support investigations or follow-up related to questionable residency cases.Administrative Support to Director of Student Services/Online Learning ProgramManage scheduling, appointments, and communications for the Director.Answer and direct phone calls and inquiries.Prepare correspondence, reports, and documentation.Assist in budget preparation, tracking, and purchase processing.Maintain organized records and filing systems.Provide clerical support related to online student services as needed.Performs other duties as assigned by the Director of Student Services.Student Services Programs & ComplianceProcess and maintain documentation for the district's Homelessness (McKinney-Vento) program.Assist with data collection and reporting related to student service programs such as emergency drills, safe schools reporting, and threat assessments.Monitor and maintain documentation for the Student Assistance Team (SAT).Home Education Program SupportProcess and maintain all required documentation for students participating in the district's Home Education (homeschool) program.Track submission of affidavits, objectives, immunization records, and health records in accordance with Pennsylvania law.Monitor deadlines and ensure timely receipt of required annual evaluations.Maintain accurate records of home education students within district systems.Communicate with families regarding required documentation and compliance timelines.Assist the Director of Student Services in ensuring district compliance with Pennsylvania Home Education regulations.Health, Safety, and Specialized Program SupportAssist school nurses with preparation and submission of SHARRS (School Health Annual Reimbursement Request System) reports.Process requisitions for school nurses and district social workers.Support ESL staff with coordination and preparation for student testing.Maintain accurate records related to safety and student support programs.QualificationsHigh school diploma or equivalent, required.Associate's degree or Bachelor's degree, preferredPrior administrative or secretarial experience required, preferably in a school setting.Other education/experience as accepted by the school board and administration
