Role Overview About the Client The client is a well-established digital content creator and entrepreneur with over six years of experience building a personal brand and digital product ecosystem. Their business focuses on travel, digital nomad resources, and educational content, supported by a growing portfolio that includes newsletters, e‑books, courses, a SaaS startup, and brand collaborations. The team operates in a fast‑paced, highly asynchronous environment, leveraging tools like Notion, Canva, and Google Workspace to manage operations, content, and strategic growth initiatives.
About the Role The client is seeking a highly proactive and experienced Virtual Assistant who can operate as a true generalist across content, operations, and project coordination. This role is ideal for someone who thrives in a self‑managed environment, takes full ownership of tasks, and can independently drive projects forward with minimal oversight.
You will support day‑to‑day operations, content execution, and brand growth initiatives while collaborating with a small, agile team. The role requires strong judgment, initiative, and the ability to balance multiple priorities in a dynamic, creator‑led business.
Key Responsibilities Project Coordination Support coordination across team members and ongoing initiatives
Track deliverables and follow up to ensure deadlines are met
Provide regular updates on project status and flag potential delays
Create metric reports and other similar reports using AI tools
Develop quarterly goals/KPIs review and project manage any action items related to said review
Administrative & Operations Support Assist with onboarding new team members, including contracts and documentation
Create and maintain SOPs and internal documentation
Schedule meetings and manage calendars
Manage communication channels such as WhatsApp group chats
Track tasks, deadlines, and project progress using Notion or similar tools
Conduct research and support ad hoc operational needs
Maintain dashboards and track key metrics or analytics
Assist with preparing agendas and running weekly team meetings
Build systems and AI agents to maximize workflow efficiency
Content & Copywriting Draft and schedule monthly newsletters and email campaigns
Convert voice notes and outlines into polished email drafts and social captions
Write and update blog posts, landing pages, and website content
Support the creation of digital products such as e‑books and courses
Graphic Design & Content Support Create and update visual assets for newsletters, social media, and digital products
Maintain consistency across brand visuals using existing templates
Update and improve existing digital products as needed
Brand Growth & Partnerships Research and identify collaboration opportunities with brands, podcasts, and media outlets
Prepare and submit applications for grants, speaking engagements, and partnerships
Track deadlines and ensure all materials are submitted on time
Maintain and update the client’s press and visibility assets
Qualifications & Skills Must 3+ years of experience as a Virtual Assistant, Operations Assistant, or similar role
Strong experience in copywriting and written communication
Strong experience in project management
Proficiency with AI tools (ChatGPT, Claude, etc.), Notion, Google Workspace, Canva, and WhatsApp
Experience working in remote, asynchronous environments
Strong organizational and time management skills
Ability to work independently with minimal supervision
Availability aligned with EST working hours with flexible scheduling across the day
Preferred Experience supporting content creators, personal brands, or digital businesses
Experience working with neurodivergent entrepreneurs
Familiarity with email marketing platforms such as ConvertKit or similar tools
Basic understanding of digital marketing, brand growth, and partnerships
Experience with project management or coordinating small teams
Exposure to tools like Xero or similar administrative platforms
