Project Manager

Position Summary The Project Manager – End User serves as the operational backbone of end-user account execution, translating customer requirements into executable scopes, coordinating resources, and ensuring disciplined project setup and documentation. This role drives consistency, accuracy, and execution readiness across high-volume end-user environments. In close partnership with Field Managers, the Project Manager maintains daily coordination and communication to align schedules, materials, and labor needs, ensuring current and upcoming work is properly planned and supported. Key Accountabilities 1. Project and Work Order Execution Setup Ensure all work orders are clearly scoped and approved by the customer before job creation. Confirm that each request aligns with contract pricing and scope of work. Enter approved jobs accurately into the ERP system with complete details for billing, costing, and tracking. 2. Account Support and Issue Resolution Supports the Account Manager by responding to customer and internal inquiries, identifying issues early, and coordinating resolutions. Maintains a service-oriented mindset to support consistent client experience. 3. Scope, Pricing, and Documentation Discipline Ensures all Labor Work Orders reflect correct scope, pricing, and supporting documentation, preventing execution risk and downstream rework. 4. Internal & External Communication Maintain proactive, clear, and professional communication with customers, subcontractors, and internal teammates. Resolve issues efficiently and keep stakeholders informed. Build relationships with facilities personnel and subcontractor crews to support repeat business and smooth operations. 5. Subcontractor Communication & Scheduling Serve as the primary point of contact for subcontractors. Communicate scope of work, schedule expectations, and site access needs. Coordinate material pickups through warehouse picking tickets and confirm schedule adherence in partnership with the Field Manager. 6. ERP and System Execution Accurately creates jobs, work orders, and purchase orders in ERP and related systems. Ensures all required data, pricing, and documentation are complete, consistent, and aligned with account agreements. 7. Subcontractor Payroll Processing Collect and validate subcontractor labor submissions. Cross-reference job completion and labor hours with field managers before submitting for payment. Ensure timely payroll processing and accurate coding for job costing. 8. Invoicing & Job Costing Generate accurate customer invoices based on completed work and approved scope. Submit invoices promptly per client terms. Ensure all labor, materials, and POs are properly costed and recorded in ERP for financial reporting. 9. Continuous Execution Improvement Drives improvements in workflows, coordination, and execution readiness to increase efficiency and service reliability across the end-user platform.
